Camp Twelve Trails gives children entering Kindergarten - 10th grade the best of both specialty and traditional Day Camp programs. It is comprised of five Neighborhoods (elective tracks): Play, Create, Explore, Discover, and Grow that allow campers to strengthen their skills in their favorite specialty while encouraging them to explore new areas. Our program is rooted in universally shared values central to Jewish life. These values are incorporated in everything we do, with the hope that it encourages our staff and campers to be the best versions of themselves.
POSITION OVERVIEW:
The Office Manager is key role in the organization and operations of Camp Twelve Trails. This staff member will work closely with the Assistant Camp Director to ensure the Administrative side of camp is run smoothly and efficiently. During the summer season, the Office Manager will be the first point of contact with families.
DUTIES PRE CAMP:
- Participate in staff training.
- Help with set up of Camp Office.
- Ensure camper files are up to date before the start of camp.
- Assist the Human Resources team with the onboarding of camp staff.
DUTIES DURING CAMP:
- Oversee day-to-day office operations including managing incoming calls, emails, and inquiries.
- Help to maintain camper files and follow up with families when items are missing.
- Work closely with Human Resources staff to ensure all staff have completed paperwork and necessary items for compliance and payroll.
- Produce weekly rosters for camp groups, buses, and trips.
- Maintain cleanliness and organization of office.
- Work with the leadership team to ensure lost & found is maintained and sorted regularly.
- Work with the Transportation team to ensure arrival and dismissal changes are updated and communicated to the appropriate staff.
- Greet parents and guests for pick up and drop off at camp.
- Track spending on a budget log to ensure departments are within the perimeter.
- Provide Administrative Support to the Camp Leadership Team.
REQUIREMENTS:
- Ability to create and implement systems.
- Must be knowledgeable in database management, Microsoft office and google suites.
- Strong organizational skills.
- Ability to be flexible and adapt to changing needs.
- Knowledge or willingness to learn Department of Health and American Camp Association regulations for Human Resources.
- Strong interpersonal skills.
- Strong communication and problem solving skills.
- Ability to remain calm and maintain perspective under pressure.
- Commitment to work collaboratively with others.
STATUS:
- Seasonal.
- June 27 - Aug 16, 2024, including 40-45 hours of staff training in May and June.
HOURS:
- 8:00am-5:00pm.
- Mondays through Fridays, during the summer (June 27 - Aug 16, 2024).
SALARY:
- $5,000 for the season.
