Job Description
Responsibilities of Data Entry Clerk
· Submit HFS Portal Access Form to HFS to gain access to HFS Portal and maintain access by completing HFS Portal training and any related trainings.
· Enter data from various sources, including paper documents, electronic files, and forms, into computer systems or databases.
· Retrieve data from the database or electronic files as requested.
· Verify and review data for accuracy and completeness, making corrections as necessary.
· Transcribe information from original health assessment into the required database(s).
· Sort and organize paperwork and files as needed.
· Perform administrative tasks such as answering phone calls and responding to emails.
· Update and maintain existing databases by adding, modifying, or deleting records as needed.
· Perform routine data cleanup and deduplication tasks to ensure data quality.
· Handle sensitive and confidential information with the utmost discretion and maintain data privacy and security.
· Adhere to company policies and data protection regulations, such as GDPR or HIPAA.
· Maintain detailed records of Data Entry activities, including source documents and timestamps in the IM+CANS tracker, consumer upload report, and any related reports.
Communication
· Report to agency facility to review any needed signature pages for CANS uploads.
· Report critical concerns and problems to supervisor in a timely manner and actively seek Supervisor’s input and assistance to resolving the concern.
· Follow chain of command when encountering problems or other areas of need and correct problems requested.
· Solicit and cooperate with assistance of support staff.
· Actively participate in an appropriate manner with the decision-making process as “pro-active” team member and cooperate with team’s decision.
· Attend staff meetings, planned in-service training and any other regular or assigned meetings as required by Rule 132.
· Responsible for any equipment assigned in order to perform duties.
· Perform other required job duties requested by the supervisor and/or directors.
· Participate in regular evaluations.
· Participate in supervisions (monthly, at minimum).
Requirements:Education & Qualifications
· At least 18 years of age.
· High School Diploma or equivalent at minimum.
· Excellent reading and writing skills in English.
· Ability to transcribe information from various sources accurately.
· Excellent organizational skills with the ability to prioritize tasks.
· Attention to detail and accuracy in Data Entry.
· Proficiency in computer applications, including Data Entry software, Microsoft Excel, and database management tools.
· Basic understanding of data privacy regulations and compliance (e.g., GDPR, HIPAA).
· Prior experience in Data Entry or a related field is a plus.
Excellent typing speed and accuracy.
Training requirements
Must complete all agency CARF-required initial orientation training and state mandated trainings.
