The Customer Service Representative role is the face of Hydra-Flex and is responsible for ensuring customer satisfaction. This is a fast-paced role that covers many areas, including: phone support for the company, order entry and providing support for customer requests. The Customer Service Representative must take an “ownership” mentality in their approach to handling customer interaction. Success in the role is measured by CUSTOMER SERVICE survey scores, overall team sales and profitability growth, and growth of assigned accounts. This role will also provide backup to tech support as needed.
· Phone Support & Communication
· Answer all in-bound calls, solve customer needs, escalate to proper department.
· Communicate new product and service opportunities, special developments, information, or feedback gathered through field activity to appropriate company staff.
· Support outside sales staff with all office-related needs including quotes, quality issues, information requests and reporting.
· Monitor the shared “Sales” inbox. Enter orders, respond to customer inquiries, assign request to other members of the team following our documented process.
· Order Entry
· Utilize ERP system to enter all orders that are received.
· Contact customers to collect any additional information needed to complete orders.
· Receive payment via credit card over the phone.
· Work with the Accounting department on past due accounts.
· Provide confirmation of orders to customers.
· CRM Documentation
· Update relevant order information into CRM tool.
· Work with the Sales Operations Analyst to make sure all customer information is updated on a regular basis
· Assign tasks to other sales members through the CRM tool based on customer requests.
· Other Sales Support Duties
· Support customers that need to return products through the RMA (Returned Materials Authorization) process.
· Handle light tech support cases on basic product questions.
· Perform periodic, regularly scheduled outbound calling to assigned accounts.
· Prepare and assist quotes for assigned customers.
· Tech support assistance when needed.
· Other duties as needed.
· Supporting assigned customer and sales team
· Bachelor’s or Associate’s degree or equivalent work experience.
· Proper phone etiquette.
· Effective listening skills.
· Ability to communicate effectively verbally and in writing.
· Ability to create, compose and edit written materials.
· Reliable and punctual.
· Computer proficiency in Word, Power Point, web applications, and Outlook/email with advanced competency in Excel.
· Experience with ERP and CRM tools.
