Who We're Looking For:
POSITION OVERVIEW
The Client Service Representative will be the client's primary contact when calling and visiting the practice and as such presents the professional image of the practice to callers and visitors. You will ensure the client has a pleasant and efficient experience while at the hospital. You will be responsible for maintaining, updating, and ensuring the schedule is on track and the customer has zero wait time.
RESPONSIBILITIES
• Provides compassionate care to patients.
• Work with the front assistant to greet the client upon arrival and ensure all client and pet information is entered into the computer system. Know the client and the patient and the reason for the visit prior to arrival.
• Answer the telephone and place calls quickly, efficiently, and in a professional and friendly manner, using a multi-line telephone system.
• Own the schedule and make sure we are on time.
• Answers client's inquiries about hospital policies, basic animal care questions, cost of immunizations, and spay/neuters.
• Receives and transmits telephone, fax, and e-mail messages accurately and promptly.
• Send out reminder cards and calls for the next day's appointments and surgeries.
• Obtain payment after services are performed.
• Ensure no missed charges.
• Ensure that all follow-up appointments are entered and the client receives an appointment card that communicates the next visit.
• Performs over-the-counter selling of specialty merchandise, exercising technical knowledge of products sold.
• Thank the client for their time and business.
• Make sure new client information is complete and identify and document how they heard about us.
• Build client relationships by sending out thank you notes, gift cards for referrals, and sympathy cards.
• Keep the front area clean.
• Maintain Facebook by posting interesting findings, before and after groom/surgery pictures, and the most interesting medical case for the week.
• Keep our company e-mail account up to date and respond to all inquiries in a timely manner.
• Understands and carries out oral and written directions.
• Maintains positive, cooperative relationships with other employees.
• Performs other duties as assigned.

Requirements
• HS Diploma or educational equivalent.
• Knowledge of general office practices and procedures, Client Service Representative (receptionist) duties, and telephone techniques.
• Demonstrated ability to perform clerical work with speed and accuracy, use a multiple-line telephone system, and handle cash and other forms of payment.
• Experience obtaining relevant information from clients, and accurately entering a variety of information in patient records.
• Ability to complete assigned tasks in the time allotted without direct supervision.
• Demonstrated ability to show empathy toward clients and treat animals with respect and compassion.
• Excellent interpersonal communication skills.
• A commitment to outstanding client service.
• Ability to lift objects weighing 40 pounds without assistance and objects weighing more than 40 pounds with assistance.
• Ability to stay on task and work energetically for entire shift.
