Job Description

Principal Function: The Customer Service Representative is responsible processing orders and effectively communicating with customers and colleagues.

 

Essential Duties and Responsibilities: Duties include, but are not limited to:

1. Receives customer purchase orders (POs), verifies price, and requests material allocations.

2. Following the established Standard Operating Procedures (SOPs), completes sales order processes accurately and efficiently, including but not limited to entering the orders into the VISCO software, creating and sending shipping documents to the specified warehouses and to the customers, working with freight brokers to locate appropriate carriers, contracting with carriers for prepaid transportation needs, tracking orders to ensure on-time pick-ups and deliveries, creating and executing contingency plans when on-time delivery is not possible, and invoicing the customer/agent once the order is complete.

3. Arranges freight for orders, keeping in mind both cost and reliability.

4. Communicates with inhouse personnel to obtain the allocation lot number and location of materials for each order.

5. Provides Sales Order (SO) confirmations to customers and inhouse personnel.

6. Communicates with Sales Representatives to confirm accurate pricing and commission amounts, and determine contingency and customer communication plans, if a problem occurs with either the materials or shipping process.

7. General admin duties such as but not limited to: taking care of plants or straightening magazine to maintain the reception area, break room and supplies. Collect, sort, distribute or prepare mail, messages or courier deliveries. Greet persons entering the establishment, determine the nature and purpose of the visit and direct or escort them to specific destinations. Operate telephone switchboard to answer, screen, or forward calls, provide information, take messages or schedule appointments. Proofreading (PO's, new customer documents, emails to customers, facilities), transcribing handwritten information (new customer documents, purchase orders, mail), operating a calculator and computer to work with invoices, and other documents.

8. Responds to customer requests and requests from inhouse personnel in the manner prescribed in the Standard Operating Procedures (SOPs).

9. Assists the Accounting Department with invoicing and freight questions.
