We are looking for a Customer Service Rep with 5+ years’ experience and solid understanding of manufacturing environment. Under direct supervision, perform verbal Customer Service and related clerical functions necessary to satisfy customers’ needs. Use of Sage, Corrigo, Microsoft Excel, Word, and Outlook software.

Duties and Responsibilities

The duties and responsibilities include, but are not limited to the following:

  • Demonstrate skills, training, experience
  • Respond to customer initial request for on-site services; (i.e.: Cart or ladder repair, cleaning, electric (mart) cart repair, etc.). Enter info on Corrigo service program for dispatcher to schedule.
  • Prepare quotations for product to be submitted by email or fax, prepare documentation for use as sales support (i.e.: presentation folders, sales brochures). Assist in making sales calls.
  • New Order Processing
  • Develop strong understanding of company product lines. May be specialized in one or more specific product lines, but still maintains active participation as needed.
  • Enter orders for display products, carts, and parts. Run edits to verify accuracy and process production picking tickets to include logistical information for shipping.
  • Ability to talk with new potential customer, develop profile of needs and information
  • Problem Solving Skills
  • Diplomatic problem solving and negotiating to quickly resolve any customer dissatisfaction.
  • Handles complaint issues, collects all information, pacifies customer, attempts to resolve and forwards to supervisor for determination
  • Ability to assist customer in ordering correct product to fit customers’ needs
  • Assign processing of billing daily from prior day shipments. Entry of site service orders upon receipt.
  • Insure adequate credit terms and balances are available to customer prior to production and packaging of orders, notification of special restrictions or packaging clearly marked on paperwork. Acquire necessary signature for credit override prior to releasing order for production or packaging.
  • Ability to monitor and reconcile inventories (i.e.: Cart Pool)
  • Train and assist Customer Service staff as needed.

Accountabilities

  • Responsible for timeliness and accuracy in preparing orders for A/R invoicing following shipment when assigned
  • Accuracy of edits performed, with minimal errors
  • Demonstrate proficiency for speed and accuracy in data entry
  • Demonstrate proficiency in use of Microsoft Outlook, Word & Excel
  • Accuracy and timeliness of order entry and production picking ticket entry
  • Ability to perform as a sharp, quick thinking, confident and personable team player

Job Specifications

  • College level skills in vocabulary, grammar, verbal communications, and mathematics
  • Solid understanding of manufacturing environment and related issues
  • Ability to articulate with internal and external customers. Ability to interpret customer technical needs with minimal information
  • Experienced in Windows operating systems on network, ability to create documents and spreadsheets in Microsoft Office – Word/Excel and ability to use Outlook
  • Skilled in office equipment: computers, laser printers, automated telephones (voice mail), calculator, laser fax machine, copier

Physical Demands

  • Lift 10-20 pound office supplies 1-2 times each day
  • Sitting at desk 90% of 8 hour day
  • Approximately 4 hours per day (total) use of wrists (computer/keyboard)
  • Occasional walking within office
  • 1 hour of bending, stooping, and reaching throughout a day

Working Conditions

  • Office environment: heated and air conditioned, florescent lighting, low noise level. Continual use of computer terminal.
