Summary: The Customer Service Representative position is a position that is critical to the successful operation of this hospital. Whether working as a Greeter, Cashier, or in the Phone Room each position is interchangeable and is to be mastered by all persons. These positions require extraordinary Customer Service skills, the ability to multi-task, perform cash operations, handle stressful situations and embrace and promote our hospital philosophies. In addition, these positions also support verbally and physically each department in the hospital. Due to the nature of the hospital, CSRs may be asked to work any day of the week, month, or year.
Reports to: Lead Receptionist, Hospital Administrator / Office Manager and Owner
Key Areas of Responsibility:
- Provide outstanding Customer Service
- Able to lift pets up to 50lbs 10 times every day
- Work as part of a team to put our clients & patients first
- Knowledge of veterinary terminology
- Possess tact and diplomacy when dealing with the public, animals and other staff members
- Promote all practice philosophies and protocols
- Greet each client by proper name (i.e.; Mr. and Mrs.) and each pet by name
- Verify accuracy of personal information in computer for each client/pet
- Create appointments/explain procedures/ give accurate fees for routine services
- Check in/admit each patient into the hospital for designated procedure/exam
- Enter and present invoices and estimates
- Present hospital billing and return policies
- Check out each client with the ability to process all types of payments
- Provide clients and other hospitals with appropriate approved medical records
- Promote and educate clients on preventative care, wellness programs, monthly specials, new programs and pet portals.
- Proficient in the use of the hospital software
- Excel in presenting the hospital with a proper tour
- Take pride and maintain cleanliness of reception area, phone room, pharmacy and exam rooms, along with all areas of hospital as needed.
- Work with fecal matter, urine, blood, and cleaning chemicals
- To ensure the safety of clients, pets and their colleagues
- Obey all clinic policies and procedures as well as under their responsibilities under OSHA and other regulatory agencies
