The Customer Care position is the first contact with all homeowners, vendors, and clients via receiving all inbound accounting calls. The Customer Care agent should take all inbound calls when possible and present a consistent level of customer service with each caller. The role serves as an integral part of the Accounting Team and its daily function. Performs all duties in accordance with Access Management’s policies, processes, and procedures and within the realm of the management philosophy.
Essential Duties & Responsibilities not limited to:- Promptly answer all inbound accounting calls with the proper greeting.
- Listen to the caller while taking notes as needed, giving utmost effort to fulfill the caller’s need; if unable to assist appropriately, the caller should be forwarded to the appropriate contact.
- Accordingly respond and reply to emails sent to the Accounting department.
- Review and follow up on voicemails that are received on a daily basis.
- Perform collection calls to assist with bringing owners’ accounts current.
- Assist owners with submitting payment via online or physically as well as explaining automatic payment procedure. Review payment portals to confirm payments submitted and recurring payment schedules.
- Input owner information whether received via physical mail or electronically.
- Update daily call log to keep track of inbound calls and send log to supervisors weekly for review.
- Any duties assigned by Supervisor based on business needs.
- Ensure workplace is kept neat and organized.

- Keep the Accounts Receivable Manager promptly and fully informed of all problems or unusual matters of significance.
- Maintain a favorable working relationship with all other Access Management employees to foster and promote a cooperative and harmonious working climate.
- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules.
- Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies and regulatory guidelines.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Knowledge, Skills & Proficiencies:- Excellent people skills, team building skills and conflict management skills.
- Strong knowledge of Microsoft Applications, especially Word, Outlook and Excel.
- Excellent written and verbal communication skills.
- Ability to make sound business decisions and work effectively with supervision.
- Strong time management skills.
- Strong problem-solving skills.
- Ability to successfully work with a wide range of personnel including vendors, office staff, Developers, Community Board of Directors, and all levels of management personnel.
