SUMMARY: To assist and relieve the Director of Curriculum of a variety of tasks to enhance the smooth and efficient operation of the office of Director of Curriculum.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintains confidentiality of all confidential material.
Monitors instructional and grant budgets.
Prepares letters, notes and reports as sketched to him/her by his /her administrator.
Prepares and writes routine correspondence, reports and record/post minutes at assigned meetings.
Prepares purchase orders and check requests.
Maintains encumbrance records against various budget categories.
Maintains a filing system for state and federal programs, including documentation and communication with private schools, as well as Personnel Activity Reports (PARs).
Keeps records and payroll for workshops.
Submits payroll for programs under the direction of the curriculum office.
Prepares packages for all meetings chaired by Director of Curriculum.
Opens mail, orders supplies, and handles professional organization memberships.
Processes conference and workshop registrations/reimbursements for all instructional staff and administrators.
Manages professional development for the district, maintains records, calendar, and reports.
Maintains accurate documentation for District grant programs and all programs from the instructional office.
Helps maintain Instructional Data management systems, and other related network based and web based technology.
Maintains department website. Performs such other duties as may be assigned by administration.
EDUCATION and/or EXPERIENCE: High school graduate plus five years secretarial/office management experience.
OTHER SKILLS and ABILITIES: Computer skills and ability to operate a personal computer and related software. Proficient in Microsoft Word, Excel, and PowerPoint or willingness and ability to acquire skills as soon as classes are available*. Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Proficient and effective telephone skills and ability to greet the public and represent the District in a professional manner. Ability to perform duties with awareness of all district requirements and Board of Education policies.
Preference will be given to candidates possessing these skills. Successful candidate needing training must be willing to take classes after work hours without compensation.
REQUIREMENTS
- Bachelors degree preferred (non-degreed candidates may receive consideration)
- Previous school employment experience preferred
- Computer proficient in Excel, Microsoft Office Suite, PowerSchools, SchoolDude, Foxbright, Kalpa, AS400, Curriculum Crafter, Aesop and Safeschools or willing to be trained
- Ability to accurately input and retrieve computer data and work at computer for long periods of time
- Must possess a high degree of efficiency and accuracy
- Ability to work with general supervision and/or independently
- Must possess a high degree of organizational skills.
- Must possess a high level of skill in communication, both written and verbal
- Must possess strong interpersonal skills with a demonstrated ability to work harmoniously with office staff, administration, students, and parents
- Ability to remain calm in stressful situations and prioritize action items
- Ability to perform duties with awareness of all district requirements and Board of Education policies
- Ability to establish and maintain effective working relationships with students, staff and the community
WORKING CONDITIONS: Language Skills – Ability to read, analyze, and interpret documents. Ability to write, correspondence. Ability to effectively present information and respond to questions from administrators, staff, parents and students.
Mathematical and Reasoning Skills – Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
