Support the overall operation of both the Executive Office & Human Resource Department in daily administrative functions. Assist the EVP and SVP of Human Resources as well as the VP of Talent Management with key responsibilities for both offices, which includes new hire administration, employee relations, training and communications, and travel arrangements.
- Provide administrative support for EVP, SVP of HR and VP of Talent Management
- Booking executive travel when assigned
- Craft internal announcements – new associates, promotions, etc.
- Process invoices for payment
- Process expense reports for assigned executives
- Heavy calendar management, including employee birthday/anniversary input
- Assist with New Hire Onboarding
- Process reference and background checks on candidates
- Submit new hire IT tickets for new hires
- Update HR contact lists on a monthly basis
- Assist with HR events & special projects
- Process new hire paperwork
- Book Candidate travel
- Maintain employee files and records
- Schedule onsite and over the phone interviews
- Maintain monthly assigned reports
- Answer phone calls and take messages
- Provide backup assistance to the Corporate Receptionist
- Associates or Bachelor’s Degree preferred, fresh graduates welcome to apply
- Advance MS Office skills including Excel, Powerpoint, Outlook, Teams
- Heavy travel booking experience
- Must be flexible, nimble, and have a sense of urgency
- Superior customer service skills
- Able to manage multiple tasks at the same time
- Willing to work overtime when needed
- Exceptional organizational skills
- Exceptional written and verbal communication skills
- Must be able to maintain confidentiality of information.
