Job Description
The Contract Administrator works directly with the manager of the department to reduce risks and protect the company while complying with the law, so they work to ensure each contract follows those standards. A Contract Administrator should demonstrate high levels of integrity, organization, and accountability. Below the list of duties established in this position:
- Receive the contract documents from the developer or contractor for each new project of the company.
- Create the physical and electronic file to organize all the information.
- Collect all the updated documentation from the sales rep or the designer team leader for every new project, including Proposal, Cost analysis and quote from the manufacturer.
- Help the Manager to review all the documentation for each project.
- Organize all the project information in excel and Monday.com.
- Create electronic redlines with the comments for each document and sent it via email to the client contact person.
- Provide follow-ups from the developers or contractors and advise the manager.
- Ensure the cost analysis, proposals and contracts amount are all in sink to avoid discrepancies or deficiencies in the profit of the project.
- Coordinate and create the Teams meeting with client for contract revisions, when applicable.
- After the final document is revised and approved by both parties, make sure the DocuSign (or equivalent) is executed, or print the final document for signature, scanning and sending final email.
- Inform the Accounting team and place all the correct documents in the computer system Share Folder when a Contract is finalized and executed.
- Once the contract is executed, submit the Notice to the Owner, and once received save it in the share folder.
- Request the elaboration of the OCIP, Certificate of Insurances and endorsements for each project to insurance company.
- Assist the manager with the organization of all projects to prioritize and maintain order.
