Smart Charity is a small company specializing in nonprofit compliance located in Reston/Leesburg, Virginia. We are looking for a full-time Compliance Specialist responsible for preparing /reviewing charitable state registrations for nonprofit organizations and managing existing clients accounts, enabling them to solicit donations legally. The Compliance Specialist will ensure that clients comply with charitable registration requirements, submit prepared State registrations and track approved applications.
Job description:
- Prepare multi-state solicitation applications (online and in a paper format) using client information, nonprofit tax return and organization’s formation documents.
- Manage a portfolio of existing clients and interact directly with them to gather the information needed and resolve pending inquiries.
- Review filings prepared by other team members to check for quality and accuracy.
- Update state forms as new forms are being released.
- Organize and track client's State registration confirmations and correspondence; check due dates and the completion of filings in the due date tracker.
- Proactively identify registration issues and assist in resolving them by contacting the states via phone or email and drafting responses.
- Assemble state packages for email filings.
- Process online registration payments and record credit card transactions.
- Perform all other related duties as assigned.
This position requires excellent organizational skills, a can-do attitude and exceptional attention to detail. The successful candidate must be able to work independently in a fast-paced and demanding environment, adapt to changing priorities and deadlines, manage multiple filings, ask for guidance where needed, and follow up tasks to completion.
Job Requirements:
- Strong computer skills, including proficiency with Word, Excel, Adobe, and Outlook software are required.
- Familiarity with Quickbooks, CRM software, and cloud-based filing systems a plus
- Must be able to work to high standards of quality
- Strong interpersonal, verbal, and written communication skills
- 2-3 years of experience (preferred)
- Hard-working and detail-oriented with problem-solving, organizational, and time-management skills
- Must be able to perform administrative-like duties
- Complete any additional tasks as directed and maintain a positive, "whatever it takes" attitude to contributing to the team and growing the business
- Ability to comprehend and communicate legal requirements and adhering to client confidentiality policies
Accountability: Reports to the COO
Physical Requirements: Prolonged sitting throughout the workday with occasional mobility required.
Position location: You are welcome to work remotely or from our Leesburg, VA office. Training in person is preferred.
