DH Realty Partners, Inc. is as a full-service commercial brokerage and Property Management firm, centrally headquartered in downtown San Antonio, with additional offices in Corpus Christi and Austin, TX. Our team consists of over 42 dedicated commercial real estate professionals, including 34 specialized agents covering diverse areas such as land, office, industrial, retail, medical, multi-family, investment sales and leasing, and Property Management.

Overview:

Our company is currently looking for a professional individual to fill the role of a Property Management Assistant. The PMA will work directly for the Property Manager and assist in managing daily operations at assigned properties. The PMA will assist in researching and contacting tenants, arranging for building maintenance, and managing collections. and other related functions to maintain and enhance the long-term value of all assets managed.

Essential Responsibilities:

  • Assists with the general administration and maintenance of the property portfolio
  • Assists in managing all aspects of an onsite Property Management office.
  • Communicates effectively with tenants regarding Lease & billing questions, maintenance as well as all property-related issues ensuring needs are met while providing excellent customer service.
  • Coordinates with tenants and third parties to address maintenance and facility needs.
  • Resolves all billing and maintenance requests filed by tenants.
  • Schedules all required annual inspections for the properties.
  • Processes Lease abstracts and ensures accurate lease information into the accounting system.
  • Coordinate tenants move outs and move ins.
  • Prepares correspondences, notices and make collections calls to tenants.
  • Prepares all meeting agendas, notes for quarterly and annual POA meetings.
  • Coordinates with outside vendors to arrange for trash removal, maintenance, landscaping, security, and other services as needed.
  • Investigates and helps to resolve complaints, disturbances, and violations.
  • Participates in property inspections, on-site walk-throughs with managers and owners
  • Contributes to team efforts by accomplishing related tasks as needed in a timely and proficient manner
  • Manages records and files of vendors and current tenants
  • Assist in obtaining bids from contractors, vendors, and service providers
  • Assists with annual CAM reconciliations and budgets
  • Assist Leasing Agent with entry and securing vacant property
  • All other functions listed or not listed involved with the commercial management

Job Qualifications/Skills:

  • Have highly developed written and oral communication skills, including the ability to communicate across digital platforms and in-person
  • Be detail-oriented, highly organized, and have the ability to multi-task
  • Have effective time management, including prioritization of time-sensitive items and ability to meet deadlines
  • Strong interpersonal skills to support relationships with a broad range of customers, employees, vendors, and stakeholders
  • Excellent critical thinking and problem-solving skills
  • Strong integrity in all business dealings
  • Reliable transportation, a valid driver's license, and no at-fault moving violations within the last 2 years

Physical Requirements:

  • This position primarily consists of working indoors in an office environment. In the course of the employee’s duties, he/she must travel to customer sites to perform essential job duties. Essential functions: The employee may be required to: sit, walk, or stand for extended periods, talk and hear with the ability to communicate, detect, converse with, discern, convey, express oneself, exchange information, to use the hands and fingers to operate, activate, use, prepare, inspect, place, or position, and see to detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, and assess.
