THE POSITION
The Property Administrator position assists General Manager and Senior Property Manager in many of the property’s day-to-day administrative and operational duties. The position will be located on-site at Kent Station in the property management office. Kent Station is a 300,000 SF open-air urban village conveniently located in the heart of downtown Kent, Washington. ESSENTIAL JOB FUNCTIONS
Tenant Service Coordination
· The Property Administrator role acts as a liaison to tenants, vendors and contractors.
· Maintains and updates property/tenant/vendor information in required documents and database systems.
· Maintains work orders to include assignments, reports, tenant calls, and tenant follow-up.
Dispatches maintenance staff and security as needed.
· Assists with other tenant programs, as needed
Operations
· Maintains current tenant and vendor certificates of insurance.
· Responsible for tracking vendor contract maintenance and administration.
· Maintains keys to the project, including vacant spaces.
· Assists with preparation and updating of operational reports.
· Prepares and updates move-in/move-out, parking (if applicable), insurance, mailboxes, keys, tenant welcome gift,
letters, and new tenant checklist.
· Assists with a transportation management plan to include parking monitoring and tracking.
· Contacts utility companies to arrange for transfer of service for tenants.
· Posts rents for tenants and updates rent rolls monthly.
· Sends out monthly rent statements to tenants.
· Deposits all rent payments into Yardi or appropriate bank.
· Charges tenant late fees and interest when necessary.
· Codes and enters invoices in Avid & Yardi for account payables.
· Collects outstanding tenant past due balances per lease agreements.
· Assists with preparation for the annual budget process.
· Prepares copies and emails all monthly financial reports to staff for review.
Front Desk
· Answers incoming phone calls and greets tenants, vendors and staff.
· Maintains vendor/contractor sign in/out logs
· Distributes mail/packages.
· Assists with setting up meetings and taking meeting notes.
· Keeps office supplies stocked and organized.
· Organizes and maintains filing system.
· Composes routine correspondence and memos, and assists with preparing leases, contracts and reports.
Risk Management
· Maintains OSHA and onsite chemical logs as needed.
· Helps maintain all State and Federal required reports and safety documentation.
· Maintains all security reports and incident files.
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Assumes additional responsibilities and performs special projects as needed or directed by General Manager or Senior Property Manager.
EDUCATION AND EXPERIENCE:
- Must have a minimum of two (2) years of property management experience.·
- A high school diploma or equivalent is required, and a college degree is preferred.·
- Must be comfortable working in a fast-paced work environment balancing multiple projects and tasks simultaneously and consistently meet deadlines.
- Must have excellent written and verbal communication skills to communicate and work effectively with management, tenants, co-workers and vendors.
- Must have excellent organizational skills, attention to detail, and ability to be self-directed.· Computer literacy required. Proficiency in preparing Word documents, Excel spreadsheets, and Outlook.
- Property management software and Yardi experience a plus.
- Valid driver’s license, sound driving record, and auto insurance required.
