We have an immediate need for a Commercial Insurance Placements Specialist. This is an entry level administrative assistant opportunity for an established health law practice law firm in Houston, Texas off the Southwest freeway near the Greenway Plaza area This is a full-time opportunity working in the office with a great group of people. Paid parking in building garage is provided, benefits package, and bonus potential. You will need good communication skills and strong MS Office abilities (Word, Excel, Outlook & Acrobat for PDF conversions). Must be responsible, reliable, able to multi-task, and willing to take on projects as needed. Lots of room for upward movement and growth within the firm.

Job Title: Healthcare Revenue Cycle Commercial Insurance Placements Specialist

Reports To: Firm Administrator

FLSA Status: Non-Exempt

Department: Commercial Insurance/Managed Care Unit

Hours: 8:00 A.M. to 5:00 P.M. - (Monday through Friday) - Fulltime in the office, not a remote position.

Salary: $33,280 yearly, plus
overtime.

Summary:

Essential Duties & Responsibilities include the following & other duties may be assigned:

  • Provides support to Commercial Insurance/Managed Care Unit.
  • Opens new placement physical files.

Memorial Hermann:

  • Locates information not transmitted by client in client system and populates on placement spreadsheet; requests and prints Notice of Representation letter and obtains approval of Litigation Lead Attorney to mail; prints all Imaged documents; prints client system notes; creates physical file for all documents; Recognizes accounts placed with Commercial Insurance/Managed Care Unit which were previously placed with other units and opens accordingly; Monitors and verifies placements received for accounts in which client manually refers.

Tenet Healthcare:

  • Locates information not transmitted by client in client system and populates on placement spreadsheet; requests and prints Notice of Representation and obtains approval of Litigation Lead Attorney to mail; prints required documents from client system; creates and indexes physical file.

St. Luke’s:

  • Manually enters account into collection database; requests and prints Notice of Representation and obtains approval of Litigation Lead Attorney to mail; prints required documents from client system.

LOP (Letter of Protection) Unit New Placements:

  • Obtains documents from client, locates information needed to enter placements onto placement spreadsheet; scans documents into collection database, creates physical files for non-grouped Letter of Protection placements.
  • Pulls Imaging, as needed and requested by attorneys.
  • Retrieves information from client system and may input on shared spreadsheet and/or save documents onto our network; Candidate should work well under pressure for these special assignments.

Closes Accounts:

  • Calculates and notifies client of adjustments to be made to balances due in client database; closes account in time and billing system; prepares and sends closing letter to client; cancels account in collection database; populates cancel fiscal fields in client database using Close Memorandums.
  • Maintains and revises accounts skipped on time and billing and collection database interface.
  • Assures that accounts recalled by client are timely placed back with our firm by reviewing client database and firm collection database; analyzes the reason for the recall; requests reassignment; notates client system; will recognize billable payments and notifies Cash Application Analysts.
  • Requests, receives, scans and distributes medical records from client.
  • Takes and responds to incoming telephone calls and written communications pertaining to Notices of Representation.
  • Researches and distributes unidentified correspondence.
  • Notifies client of accounts which need reactivation.
  • Handles and resends Notices of Representation which have been returned due to wrong address.
  • Orders Accident Reports and Incident Reports.
  • Coordinates with client to obtain EOBs, VoBs, Remittance Advices and other miscellaneous documents legal staff are unable to locate in client database.
  • Works directly with attorneys with questions or requests, as needed.
  • Checks patient eligibility and claim statuses using claim database.
  • Reassigns accounts internally amongst attorneys and at the request of Litigation Lead Attorney.
  • Drafts or creates Billing and Closing Memos at attorney requests.
  • Negotiates settlement with patients on patient balance accounts (GPA/ELAP).
  • Maintains client facility agreements with carriers, both electronically and physically.
  • Receives, scans and distributes incoming correspondence.
  • Receives, handles and/or distributes incoming telephone calls.
  • Checks client database for payments on accounts referred for demand letter only and will request reassignment of accounts wherein a demand letter has been sent but payment has not been received by client within 30 days of client request.
  • Runs monthly report and checks client database for payments for clients who do not send electronic payment logs.
  • Prepares Claim Summaries.
  • Prepares initial demand letters to carriers.

Education/Experience:

  • High school diploma or general education degree (GED); or one-year related experience and/or training; or equivalent combination of education and experience or 6+ months experience as a Healthcare Revenue Cycle Assistant.

Language Ability:

  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

Computer Skills:

  • To perform this job successfully, an individual should have knowledge of Word Processing software and Inventory software. Knowledge of Excel is useful.

Certificates and Licenses:

  • No certifications needed.
