If so, we invite you to consider joining our team as a Receptionist for the Spay and Neuter Clinic at the Tupelo Lee Humane Society. In this pivotal role, you'll play an essential part in welcoming clients, scheduling appointments, and assisting with administrative tasks to ensure the smooth operation of our clinic's services aimed at promoting responsible pet ownership and controlling pet overpopulation.
Job Purpose:
To handle daily Spay & Neuter Clinic business functions including but not limited to appointment scheduling, handling any questions and concerns, and maintaining pateint communication.
Duties & Responsibilities:
- Greet clients warmly as they arrive at the clinic, providing a friendly and welcoming atmosphere.
- Schedule appointments for spaying and neutering surgeries, ensuring efficient use of clinic resources and accommodating client preferences.
- Answer phone calls and emails, providing information about clinic services, appointment availability, and pre-surgery instructions.
- Collect and verify client information, including pet details, medical history, and consent forms.
- Assist clients with filling out necessary paperwork and ensuring accuracy of documentation.
- Maintain electronic and physical records of appointments, client information, and clinic transactions.
- Coordinate with clinic staff to manage appointment schedules, prioritize urgent cases, and ensure smooth workflow.
- Provide basic information on pet care, spaying and neutering benefits, and post-surgery care instructions to clients.
- Assist with inventory management, including ordering supplies, restocking clinic rooms, and organizing storage areas.
- Collaborate with other team members to maintain cleanliness and organization of the reception area and clinic facilities.
- Follow established protocols for handling emergencies, including contacting the on-staff veterinarian as needed.
- Uphold confidentiality standards regarding client information and clinic operations.
- Act as a liaison between clients and clinic staff, addressing concerns, resolving issues, and ensuring a positive client experience.
Qualifications:
- Clerical experience in an office setting is desired.
- Computer experience with email, Google Workspace, or Microsoft Office.
- High school diploma or equivalent.
- Good interpersonal skills for interacting with co-workers, the public, and the telephone.
- Must maintain a valid driver's licence
- Must be willing to work with and handle animals.
Working Conditions:
Typical lobby seating area with assigned desk. May stand or walk on concrete flooring for extended periods. Open area with people traffic coming in and out. Will handle and interface with animals as required to perform the job.
Requirements:
Must be able to move about, handling documents, packages, etc. Must be able to operate a vehicle. Must be able to handle animals for transport and adoption purposes.
Job Type: Full-time
Pay: $11.00 - $15.00 per hour
Expected hours: No more than 40 per week
