THE POSITION
If you are an experienced and detail-oriented administrative professional with strong communication and keyboarding skills looking to advance your career, the Department of Human Services is actively seeking candidates for Clerical Assistant 2 positions.
These positions, in the Bureau of Hearings and Appeals, are exciting opportunities to provide clerical support to Administrative Law Judge Supervisors, Administrative Law Judges, Attorney Examiners, and Annuitant Law Judges engaged in conducting informal and formal hearings and entering adjudications, recommendations, and orders.

DESCRIPTION OF WORK
As a Clerical Assistant 2, you will prepare files, folders, and scheduling letters by reviewing appeals to determine who should receive a copy and input the information into the MAPPER database to generate a scheduling letter and prepare for mailing. You will type adjudications and orders and other correspondence from written copy, checking for spelling, grammatical errors, and the logical progression of facts and discussion, various correspondence which includes dismissals, recommendations, adjudications, and subpoenas.
You will also prepare letters after receiving pertinent data by the Human Services Hearing Officer / Attorney Examiner and/or Legal Assistant regarding rescheduling, issues addressing subpoenas, and other miscellaneous correspondence. Other duties will include updating the MAPPER and ACCESS database regarding all activities of formal and informal cases, such as scheduling, rescheduling, changes in status, name and address changes, withdrawals, appeals and dismissals. Process withdrawals for hearings prior to the hearing date. This involves closing the file in MAPPER and ACCESS database, adding appropriate information to the file, and forwarding files to the Closed File Room.

Work Schedule and Additional Information:
  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with 60-minute lunch.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY
QUALIFICATIONS
Minimum Experience and Training Requirements:
  • Six months as a Clerical Assistant 1 (commonwealth title); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Necessary Special Requirements:
  • Requires keyboarding skills to meet standards for speed and accuracy.
  • Requires the ability to take and transcribe dictation.
