Clerical / Admin Assistant
Pride Health is hiring a Clerical / Admin for one of its clients in Waimea, HI.
This is a 3-month contract to go with a possible extension with competitive pay and benefits.
Job Summary
This role includes receptionist, scheduling, Patient admission, and clerical duties including administrative and clinical management support.
Job Duties
Clerical Duties/ Telephone Switchboard -
- Answers telephone, and direct calls or takes accurate messages, relaying messages to physicians and staff as needed.
- Receives incoming telephone calls and transfers such calls to the appropriate department, and pages people on the overhead paging system and text pager as needed.
- Assist Revenue Cycle staff as needed.
- Complete requests for purchase orders per instructions of Revenue Cycle staff, submit for signatures and forward completed purchase orders to Central Supply.
- Receives ordered items and restocks storage area.
- Greets visitors and routes them to various areas of the hospital.
- Open, sort, date stamps, and distribute all incoming daily mail according to Revenue Cycle standards.
- Receives and logs payments made through the mail before forwarding to the fiscal department.
- Responsible for daily outgoing mail by checking each for sufficient postage, certified or registered mail charges, and preparing for pick-up by courier to the post office.
- Maintains certified mail log.
- Knows and follows processes/policies and procedures as necessary by switchboard operator during times of disasters and drills.
Admissions of Patients -
- Interview patients or their representatives and obtain demographic and insurance information.
- Research and update previous records within the information system or enter information to create a new file.
- Initiates and completes all necessary admitting forms recognizing that these documents constitute a medical legal document.
- Operates electric keyboard embosser and prints patient labels and wristbands.
- Explain hospital policies regarding room accommodation and visitors.
- Ask all patients to present insurance cards and identifications.
- Records billing information in the patient accounting system.
- Verifies insurance benefits and eligibility for patients.
- Assists patients with completing Medicaid applications, follow-up, and confirming applications were sent and received by the MedQuest office.
- Assures federal/state regulations, such as the Medicare Secondary Payer Questionnaire (MSP), are understood and met through the registration/billing process. This includes, but is not limited to, the Emergency Medical Treatment and Active Labor Act (EMTALA).
- Secures accounts by obtaining authorizations, pre-certifications, and referrals.
- Informs patient or responsible party of deductibles, co-insurance, co-payments, and other charges not covered by medical insurance plan.
- Receives payments; issues receipts for all cash received; accounts for cash-on-hand (change fund); submits cash received, receipts, and required control data to the Accounting Office.
- Ensures proper spelling of diagnosis or chief complaints is consistent with compliance and regulatory standards and hospital policies.
- Provide Charity Care Application assistance as needed to patients who do not have medical insurance and/or to those who do not qualify for Medicaid.
- Maintains compliance with HIPAA regulation, ensuring the patient's privacy requirements are met (e.g., P.C. screen is not visible to others, paper is always protected, open discussion in the department does not reach the public)
Requirements
- High School/GED
- Two (2) years of experience as a clinic coordinator or Administrative Assistant is preferred.
- Must be fully vaccinated for COVID.
