About the Position
Come join our team! The Saint Paul City Council has two vacant City Council Executive Assistant I positions. These positions are responsible for performing complex administrative support duties and providing exceptional customer service to Saint Paul residents, Councilmembers, and Council central staff.
One of the current vacancies will focus on staffing the Council Front Desk and providing administrative support to leadership. Primary responsibilities will include greeting visitors to the department and assisting them with their needs. This position will also provide executive administrative support to the Director and Chief Budget Officer including committee administration, scheduling, and other duties as assigned.
The other vacancy will focus on providing administrative support to the Legislative Hearing Officer. Primary responsibilities include creating meeting notices, taking detailed minutes, tracking cases, and communicating with the public.

Position Requirements
Five years of progressively responsible and independent clerical/administrative experience to include organizing and assessing complex materials, evaluating and resolving problems, responding to public inquiries and requests, applying policies and procedures, and assisting with projects and reporting.
- Must have three years of customer service experience.
- Up to two years of related, post high school coursework obtained from an office administration program can be substituted for up to two years of clerical/administrative experience.
- An ability to speak/write in languages other than English such as: Spanish, Hmong, or Somali.

Assessment: Qualifications Rating and Computer Assessment
Qualifications Rating:
The Qualifications Rating is an assessment of your completed application, resume, and answers to the Supplemental Questionnaire. Be as specific and detailed as possible in completing your application and questionnaire. You must submit your completed application and supplemental questionnaire by the application deadline.
Computerized Assessment: An electronic assessment designed to evaluate your ability to perform the duties of the position. These components include Microsoft Outlook, Excel, and Word simulations. The assessment will be emailed to you the week of March 25, 2024.

Calculation of the Final Score = (Qualifications Rating * .60) + (Computerized Assessment * .40)
GENERAL INFORMATION:
Open Job Posting: This posting is open to anyone who meets the position requirements.
Eligible Lists Created from Open Job Posting: You must receive a score of 75% or higher to pass the assessment and be considered for the position. Non-promotion eligible lists typically are pass/fail and promotion eligible lists are typically ranked. If the open eligible list created contains a veteran, one open list will exist. When there are no veterans remaining on the eligible list (i.e. hired, withdrawn) from an open list that also contains promotional candidates, two lists will be created: one open list and one promotion list. If two lists exist, the promotion list must be exhausted before the open list is considered.
Final Selection Process: Those who pass will be placed on an eligible list for approximately six months and all will be notified of their status. A Hiring Manager will consider those applicants eligible for hire. You will be notified if you are invited to participate in the final selection process which may include an interview, job simulation, work sample submission, or other evaluation method.
Condition of Employment: This position requires a background check which may include criminal history, and employment history as a condition of employment.
