Description
Temporary Part-time Position consisting of up to 29 hours per week over a 2 year period of time.
Under general supervision, performs a variety of tasks related to the rendering of appropriate paraprofessional social services, eligibility worker services and public health services; and performs related work as assigned. The work is performed under the direction of a social worker, social services supervisor, financial assistance supervisor, public health supervisor , or agency director.
Duties/Responsibilities
  • Reviews case records for completion of required agency forms.
  • Explains social service, income maintenance, public health, and other community programs and services to individuals or groups.
  • Assists providers with questions regarding billing, eligibility and data entry changes approved by case managers.
  • Explains application procedures to individuals or groups and assists individuals in completing applications or forms.
  • Assists in the development of bulletin boards/display boards/brochures, posters, labels and other promotional materials for grant projects and agency programs.
  • Interviews clients to obtain and verify necessary factual information.
  • Makes referrals to appropriate units within the agency and/or other community resources.
  • Makes contact with community resources as assigned.
  • Enters and ensures all documentation activities are recorded in the appropriate system utilized by the agency.
  • Performs other duties of a comparable level or type, as required or assigned by supervisor.
  • Composes statistical operations relevant to agency programs and procedures.
  • Composes correspondence and constructs reports as needed
  • Attends various training sessions, staff meetings, etc.
Part-time Temporary - Case Aide position tasks
Medical Assistance tasks and time associated

1. Screener two times per week - The Case Aide would be asked to be first point of contact of all incoming calls and walk-ins where a client asks for help with health care. The Case Aide will help answer questions, look up case information, reprint or explain notices, receive documents, or assist in completing applications or renewals.
2. Complete METS system tasks - METs tasks are generated by the METs system. These tasks range in priority and time needed to complete. The Case Aide would be responsible for completing low priority tasks and medium priority tasks that do not change a client eligibility status. These may be data entry or mailing tasks or both.
3. Income Maintenance mailing - The Case Aide will be available to assist eligibility staff who are working from home. This will include mailing documents to a client at the request of the eligibility worker.
4. Clearing workflow - Documents from clients are scanned into our EDMS system by office support specialists and viewed by eligibility staff. These scanned documents are for both METS and MAXIS case programs. The METs team has a variety of workflow mailboxes that help prioritize the documents and is currently reviewing each document to sort or clear. The Case Aide will be responsible for sorting those documents and moving to the correct mailbox and clearing documents that are not needed for METS.
5. Initial processing of reports - The Case Aide will be the initial reviewer of reports and will enter onto our tracking sheets to it is easier for eligibility staff to follow or read. Report data from DHS comes unfiltered and unsorted. The Case Aide will review for duplicates, filter for our county, and sort by worker or client and priority.
6. Transportation authorizations - The Case Aide will be responsible for authorizing non-emergency medical transportation for clients. This will include requesting physicians' statements, receipts, and verifying approvals for fiscal staff to ensure proper payments or reimbursements are sent out.
7. Cost effective determinations - The Case Aide will enter new insurance plan information into the DHS created from to determine if a plan is cost effective. These determinations are completed on an annual basis, typically during open enrollment period. They are also done when someone new applies for MA and verified at renewal.
8. Sending referrals to the State Medical Review Team (SMRT). A SMRT referral is needed to verify a client's disability in some cases to determine eligibility for MA. These referrals are requested by Social workers and Eligibility staff when verification of a disability is not available. These SMRT determination is renewed regularly. DHS had postponed renewals during the PHE but is now requesting that all old referrals be reviewed and referred for renewal. This will take several hours to complete each month over the next several months. Once complete, this task is expected to only take .5 hours per week.
9. Application Screening - The Case Aide will screen applications for completeness to ensure processing can occur timely. Commonly missed questions, signatures, or identification areas will be addressed by the Case Aide to avoid future delays in processing by the eligibility worker
Minimum Requirements
High School Diploma or GED is required. Minimum of 3 years related clerical experience. Post secondary education experience in the behavioral science can substitute for experience on an equivalent basis.
A valid MN Driver's license. Depending upon assignments may be required to obtain: First Aid, Basic CPR., as determined by management.

  • Knowledge of agency programs, services, policies, procedures and organization.
  • Fundamental knowledge of community resources.
  • Knowledge concerning the operation and use of computer equipment, general productivity software (i.e. spreadsheets, word processing, etc.) and human service customized applications and software (e.g. MAXIS, SSIS, etc.).
  • Knowledge of data privacy regulations and data retention schedules.
  • Fundamental knowledge of office procedures, functions and recordkeeping and basic case management activities and requirements.
  • Ability to relate to people in an appropriate manner
