Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls to the appropriate staff members
- Schedule appointments and maintain calendars for multiple individuals
- Manage incoming and outgoing mail, emails, and faxes
- Maintain office supplies inventory and place orders as needed
- Perform data entry and update records in QuickBooks or other software systems
- Assist with event planning and coordination, including booking venues, arranging catering, and sending invitations
- Proofread documents for accuracy and completeness
- Transcribe meeting minutes or other audio recordings as necessary
Qualifications:
- Previous experience as a receptionist or secretary preferred
- Knowledge of QuickBooks or similar accounting software is a plus
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to multitask effectively
- Attention to detail and accuracy in all tasks performed
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to maintain confidentiality of sensitive information
- Experience working in a dental or medical office is desirable but not required
- Project coordination or order entry experience is a bonus
