Experienced Business/Office Manager

We’re looking for a special new team member to join our firm! Design Concepts is seeking a self-motivated, personable, detail-orientated, professional, and reliable Business Manager. This position includes office management, accounting, and human resources duties in a fast-paced office setting.

We’re a landscape architecture practice focused on innovation and exploration in design of public community spaces—from parks, schools, open space, trails, and other civic projects. Located in eclectic old town Lafayette, Colorado, our open studio office is full of brilliant like-minded folks who share a deep passion to our craft and extraordinary commitment to serve the greater community.

Here’s What We’re Looking For

Financial responsibilities include:

  • Managing all financial information for the firm using Deltek VantagePoint Cloud ERP
    • Including: A/P, A/R, general ledger, bank reconciliation, credit card reconciliation
    • Month end reporting and budgeting, including KPI Reports and Budget Analysis
    • Year-end taxes, coordination with CPA, and year end reporting, including Annual Board Report
  • Oversee and execute all client invoicing on a monthly basis
    • Proactively take action to find, reduce and troubleshoot billing processes and seek ways to improve internal system efficiencies, including the month end billing process.
  • Review and verify time and expense entries
  • Coordinate all subconsultant billing and payments
  • Review and set up new projects in Deltek database

Business Manager responsibilities include:

  • Welcoming personality for front desk activities
  • Assist with meeting preparations, luncheons, employee events and errands
  • Office maintenance and appearance
  • Manage equipment maintenance and purchase supplies (office supplies, cleaning supplies, plotter supplies, etc.)
  • Project contract review and maintenance including prime and consultant agreements
  • Insurance certificates and W9 forms:
    • Request and ensure certificates and W9 forms and COIs are sent to clients
    • Gather and track certificates and W9 forms from subconsultants
  • Managing relationships and renewals with vendors (AutoCAD renewals, firm memberships, etc.)
  • Manage insurance renewals for: professional and general liability and cyber insurance
  • Conduct bi-weekly monthly financial meetings and staff financial meetings
  • Produce high quality deliverables while balancing work on a variety of projects and priorities to support multiple project teams and deadlines
  • Champion our on-going firm wide strategic planning
  • Spec formatting (Word)
  • Effective written and verbal communication
  • Notary Public certification is encouraged
  • Certification lead, involving research, training, applications, and renewals.
  • SAMS administrator including marketing our company within this system.
  • Dunn & Bradstreet administrator including marketing our company within this system.

Human Resources job responsibilities include:

  • New employee paperwork and onboarding, including Deltek training
  • Annual updates to the Employee Manual with current changes
  • Record keeping for all sensitive and confidential data related to employees
  • Assist with data collection for employee annual reviews
  • Coordinate requests and tracking of PTO and assisting staff with questions
  • Payroll coordination and reporting using ADP, including Simple IRA
  • Benefits coordination, including health, dental, vision, and life insurance

Requirements:

  • 3-5 years of office management experience
  • Bachelor’s degree or accounting background
  • Deltek VantagePoint Cloud ERP expertise and knowledge
  • ADP TotalSource expertise and knowledge is a plus
  • Strong Microsoft Office knowledge

Design Concepts is an equal opportunity employer. This is a full-time, non-exempt position with a hiring salary of $65,000 - $80,000 based on experience. We offer Healthcare insurance, Simple IRA with company match after 6 months and unlimited PTO. We are currently working hybrid schedules with flexible days.
