Job Summary

The Academic and Student AffairsBudget Specialist's primary responsibility is to assist the Provost in the administration of budgets and all financial transactions and reports. This Specialist also performs a variety of administrative duties that support the Provost.

Responsibilities

Function 1 -
Monitors all budgets for the Senior Vice President for Academic & Student Affairs/Provost to ensure funds are available to cover the fiscal year and the proper accounts are charged (i.e. state funds, foundation funds, grant funds); monitors the budgets of other departments within Academic & Student Affairs as required
Function 2 -
Submits budget transfers throughout the fiscal year as directed by the Provost
Function 3 -
Assists the Provost with annual budget planning; submits budget documents to Budget & Finance
Function 4 -
Tracks, processes, and submits all budget manager authority documents in Academic & Student Affairs as leadership changes occur
Function 5 -
Processes all financial transactions approved by the Provost: requesting quotes, generating purchase orders, paying invoices, and submitting reimbursements
Function 6 -
Prepares travel documents and submits expense reports
Function 7 -
Authorized P-Card holder, reconciles monthly statements and maintains records based on state requirements
Function 8 -
Creates budget and financial reports, correspondence, and presentations as requested by the Provost
Function 9 -
Maintains office supplies for normal operations in the Provost's Office

Function 10 -
Performs other duties as assigned

Required Qualifications
  • 4 Year / Bachelor's Degree
  • Three (3) years of experience in higher education
  • Five (5) years of experience in a general office environment with accounting experience
Preferred Qualifications
  • Graduate Degree
  • Three or more years of experience in higher education
  • Proficient in Microsoft Office Suite, Banner, and Peoplesoft
Knowledge, Skills, & Abilities

ABILITIES
Ability to work in a fast paced environment with a variety of individuals including the general public, faculty, staff, and students
