Overview:
We are seeking a highly organized and detail-oriented Book Keeper/Administrative Assistant to join our team. Quick Books is a must! As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring the smooth functioning of our office. Weekly Meetings with ownership pertaining to weekly billing and to go over AR and AP including working with Loan processing regarding recieveables.
Responsibilities:
- Provide administrative support to the management team, including scheduling meetings, managing calendars, and making travel arrangements
- Prepare and distribute correspondence, memos, reports, and presentations
- Assist with financial tasks such as budgeting, account analysis, and accounts payable
- Perform double entry bookkeeping and maintain accurate financial records
- Assist with account reconciliation and balance sheet reconciliation
- Collaborate with the accounting department to ensure accurate financial reporting
- Conduct research and compile data for various projects and reports
- Maintain office supplies inventory and place orders when necessary
- Manage incoming and outgoing mail, emails, and phone calls
- Organize and maintain physical and digital files
Requirements:
- Proven experience as an Administrative Assistant or similar role
- Strong knowledge of financial concepts, including debits, credits, budgeting, and account analysis
- Familiarity with double entry bookkeeping principles and practices
- Previous experience in public accounting is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
