Job purpose:

Supports the Director of Health & Wellbeing in managing and optimizing our self-funded multi-employer health plan and benefits package across all regions and entities.

Reports to: Director of Health & Wellbeing

Job classification and hours

  • Salary / Exempt
  • Mon – Fri
  • Option to work (4) 10-hour shift or (5) 8-hour shift
  • $65,000 - $80,00

Location: Corporate Office, Portland, OR

  • Potential for partial hybrid schedule after initial period of training and evaluation.
  • Infrequent travel to business units and regions as necessary.
  • Infrequent conference travel as deemed applicable for position.

Qualifications and technical skills:

  • Data set reconciliation and analysis of utilization data.
  • Effective communication with employees, employers, and vendors.
  • Familiarity with federal and state regulations governing benefits (ex. FMLA, local leave laws, Affordable Care Act, health plan compliance).
  • Proficient in Microsoft Office Suite including Outlook, Word, Excel, SharePoint, Teams, etc.
  • 2-5 years of similar experience required.

Responsibilities

Program Support and Communications

  • Regular tracking and report back related to department projects, goals, and objectives.
  • Populate department dashboard with various data sets to track KPIs.
  • Create, review, and / or editing of member education and communication using various media and outreach methods.
  • Routine updates of company intranet pertaining to employee benefit access and educational content.
  • Support vendor accountability through scheduling routine vendor check ins and manage receipt of performance reports.
  • Create or contribute to member educational content such as intranet postings, articles, memos, mailings, and benefits guides.

Benefits Administration and Coordination

  • Prepare, audit, and reconcile files and enrollments for various healthcare accounts.
  • Coordination with payroll to update benefits deductions and leave statuses.
  • Manage, track, and escalate member issues both internally and with external vendors as needed.
  • Support onboarding new employees with respect to the Health & Wellbeing programs.
  • Substantial engagement in annual enrollment process including member support and education, technical support, and quality assurance auditing.

Project Support and Event Management

  • Scheduling, logistics, and attendance tracking for Health & Wellbeing events.
  • Routinely support Health & Wellbeing projects, objectives, RFP processes, and vendor evaluations.
  • Regularly review processes and procedures for efficiency and / or improving member experience.

Financial Oversight and Compliance

  • Department budget tracking and reconciliation of invoices against general ledger.
  • Agenda preparation and note taking to satisfy fiduciary records.
  • Manage compliance calendar and deadlines.
  • Take leading role in annual ACA auditing process.

Development & Other Tasks

  • Identify opportunities for personal and professional development, ways to stay connected to the pulse of the employee benefits landscape, and basic understanding of offerings and trends in the benefits space.
  • First line of support in the absence of the Director of Health & Wellbeing.
  • Other projects as needed to support the goals of the Health & Wellbeing and People & Engagement teams.

Physical Demands:

  • Sit / stand entirety of workday
  • Move and/or transfer < 25 pounds on occasion

Compensation:

  • Employee (and their family) can enroll in the company’s medical, dental, vision, and basic life insurance.
  • Employee may receive an annual employer discretionary bonus.
  • Employee will have access to a personal 401(k) plan (no employer match); and Discretionary Employer Contribution Plan.
  • Employee will start with 130 hours of PTO not including 7 recognized holidays.
  • $65,000 - $80,000
