The Role And You
The Benefits & Leave Specialist serves as a key resource for the organization while coordinating and supporting day-to-day Benefits and Leave initiatives. This person is responsible for day-to-day compliant administration and coordination of the benefits and leave programs for the organization. The primary responsibilities will include being the main source of contact for the communication and administration of employee benefits, leaves of absence, and successful completion of compliance reporting. In addition, this person will work hand-in-hand with the VP of Human Resources on the design, planning, and execution of the benefits strategy, including the involvement with Open Enrollment, the administration of group benefits programs, and system improvements in these areas. Building relationships with all departments and practices by resolving questions and communicating regularly and on time is essential to this role. This role will initially report to the VP of Human Resources.

What You'll Do
- Responsible for the compliant administration of the group benefit programs across the company, ensuring flawless delivery and timely reporting
- Coordinate daily benefits processing, handle new hire enrollments, Open Enrollment, COBRA, eligibility changes (to include terminations), beneficiaries, disability, accident and death claims, rollovers, and compliance testing
- Partner with other members of the HR team to audit deductions and enrollments each payroll cycle
- Serves as a consulting resource for employees on benefit options and enrollment processes
- Participate in the design, planning, communication, and administration of employee benefit programs as well as Open Enrollment planning and execution to include event coordination, system updates, testing, communications, audits, and employee follow-ups
- Ensure all local, state, and federal regulatory requirements are satisfied
- Assist the VP of HR and Controller with the annual Form 5500 filing
- Manage ACA reporting to ensure compliance
- Monitors PTO balances for compliance and usage policies
- Process FMLA, disability, and ADA accommodations requests in conjunction with Third-Party Leave Administrator, including processing requests in Paylocity and managing communications with managers
- Supports the administration of company-wide benefits satisfaction surveys
- Provide weekly updates to the VP of HR to ensure business needs are met
- Provide a consultative approach to internal stakeholders
- Assist with ad-hoc projects

- Multi-state benefits and leave expertise, preferably within highly compliant states (CA, NY, OR, IL)
- Healthcare industry experience preferred
- Experience utilizing Paylocity
- HR certification such as PHR or SHRM-CP
- Bachelor's degree in Business, HR, or another applicable field is preferred
- 3+ years of multi-state benefits and leave administration experience
- 1+ years’ experience using Paylocity
- 1+ years’ experience using Employee Navigator
- Comfortable taking ownership and accountability for the benefits and leave program
- Excellent written and verbal communication skills
- Excellent organizational and planning skills with demonstrated teamwork and vendor management skills
- Experience in a deadline-oriented, multi-task environment
- Proven ability to interact with all levels of management and other staff
