Blue Danube Productions, an audio/visual event production company, is seeking an A/V Labor Scheduling Manager to join our team!  The A/V Labor Scheduling Manager will be responsible for servicing and maintaining labor only accounts. 
The A/V Labor Scheduling Manager position includes developing and growing the relationship with each company, scheduling audio/visual technicians for events, responding to client concerns and working with the C.O.O. to increase business from these accounts. In addition, this position will work with the C.O.O. in onboarding new contractors and freelancers and ensuring all are eligible for hire, and to ensure timesheets are correct and approved. The ideal candidate will bring flexibility, strong problem-solving skills, and an acute ability to focus on details. 
Blue Danube Productions offers a hybrid work arrangement, with 2 days per week required in our south Seattle office. 
Key Responsibilities of the A/V Labor Scheduling Manager:
  • Use the BDP contractor database to book technicians for events.
  • Communicate with technicians via text, email, and phone, ensuring they have up-to-date information on their shifts.
  • Create accurate proposals, quotes and invoices as needed.
  • Work with clients to cross-check, maintain and update schedules across software platforms.
  • Work directly with technicians to solve any scheduling issues.
  • Enter and maintain events in the event production database.
  • Maintain and update freelancer and contractor HR files in our payroll software, ensuring all paperwork is complete and up to date.
  • Maintain and update freelancer and contractor information in database.
  • Maintain and update employee calendars.
  • Review and approve freelancer and contractor timesheets.
  • Onboard new freelancer and contractor techs
  • Establish and maintain solid and reciprocal relationships with designated client contacts and vendors.
  • Account management of designated clients.
  • Ensure event profitability margins.
What the successful A/V Labor Scheduling Manager will have:                
  • Demonstrate sound customer service, communication, reasoning, and relationship management skills.
  • Foster trust and open/honest communication with the internal team and partners.
  • Collaborate with all team members to ensure an effective account relationship exists throughout all stages of events.
  • Strong organizational skills, time management skills and attention to detail required.
  • Strong verbal and written communication skills.
  • Ability to meet tight deadlines and work well under pressure.
  • Ability to prioritize and manage multiple tasks/projects.
  • Ability to work independently without supervision, be self-directed and demonstrate initiative.
  • Comfortable with learning and using new software
  • Flexibility in working hours to support business needs and the ability to work occasional long hours based on project requirements
  • Must have a commitment to on-call responsibilities, necessitating the willingness to carry a cell phone for 24/7 access                                                        
  • Minimum of 3 years of live event Audio/Visual experience
  • Familiarity with corporate event A/V positions and responsibilities is required                            
  • Office 365 proficiency, required                                              
  • Quip proficiency, desired
  • IntelliEvent Lightning proficiency, desired                            
  • Slack proficiency, desired
Compensation:
  • $40.00 to $45.00 per hour, DOE
