Job Summary:
This position provides executive-level administrative support to the Senior VicePresident and Chief Enrollment Officer (SVP). While the position reports to the Chief of Staff, the position works directly with the SVP on specific issues and projects in a one-on-one working relationship. The Assistant must be an excellent communicator and enjoy working in a fast-paced environment. The ideal individual will be able to exercise good judgment in diverse situations, with strong written and verbal communication, administrative, and organizational skills, and maintain balance among multiple competing priorities.

Major Duties and Responsibilities:
Essential
  • Manage the SVP's calendar, incoming calls, and email, and ensure sufficient desk time and time for meetings and events. Must excel in creating executive-level communications and writings to appropriately draft and prepare correspondence to all internal and external constituents, including but not limited to the President, University and SEM Leadership, and the Board of Trustees.
  • Responsible for conceptualizing, preparing, and creating communication assets, including speeches, presentations, meeting memos, and other written deliverables.
  • Conserve the SVP's time by reading, researching, collecting, and analyzing information and resources as needed in advance. Consult with the Chief of Staff to raise concerns regarding compliance issues.
  • Meet regularly with the Chief of Staff to ensure communication within the team and review the SVP's calendar, the needs of the department, and upcoming events.
  • Arrange and schedule all of the SVP's appointments, including out-of-town travel for both domestic and overseas recruitment.
  • Serve as SEM administrative support for leadership team meetings and other meetings as requested, including taking and preparing minutes and creating and distributing pre- and post-meeting content.
  • Review SVP's mail and invitations to internal and external events; provide information to SVP of meetings to determine how to coordinate calendar and responses.
  • Reconcile all expenses for the SVP ensuring consistency in expense reporting, accuracy in payment details, and timely submission to Financial Affairs.
  • Courteously and efficiently route SEM service issues addressed to the SVP and/or the SVP's Office per established office protocols.
  • Provide a professional atmosphere and ensure courteous and efficient handling of contacts with the SVP's Office to individuals at all levels.
  • At the direction of the SVP and Chief of Staff, coordinate logistics for internal meetings, staff retreats/workshops, and other events as requested.
  • Use a high degree of judgment and independent decision-making in responding to requests.
  • Organize and maintain files in traditional and electronic format.
  • Make purchases for SEM related business as directed by the SVP and other SEM leadership.
  • Must work in partnership with the executive administrative staff for the President's Office and all University Leadership when requested and as needed.
  • Perform tasks associated with special projects as assigned with broad definitions by the SVP.
  • Performs related duties as necessary to support Strategic Enrollment Management and other duties as assigned.

Responsibilities Carrying Out Above Work
Confidentiality
The confidentiality and sensitivity of the work for the SVP requires diplomacy, tact, and discretion. The need for courteous and efficient handling of all contacts in the office requires concierge-level service in responding to visitors, phone calls, and service-related issues. Receive work from SVP, often with little or no instructions or established practices or procedures, and complete efficiently and accurately. Exercise independence and judiciously make decisions based on a thorough knowledge of functional area policies and procedures and by using sound decision-making. Responsible for ensuring a smooth and timely flow of executive-level administrative work for the SVP.
Communication
Must handle phone, email, and mail contacts with all levels of the institution and external constituents in a courteous and helpful manner, but also with the utmost use of professionalism, tact, discretion, and judgment. One of the primary requirements of this position is to maintain the dignity of Strategic Enrollment Management and the SVP.
Errors could be critical. Information must be directed to the correct person, as an error could jeopardize the sensitivity and confidentiality of that information. Errors reflect on the SVP and Strategic Enrollment Management as a whole.
REQUIREMENTS:
Minimum Qualifications
Education
  • Bachelor's degree preferred or equivalent experience required.

Experience
  • Five to ten years of experience providing successful executive-level administrative support.
  • Strong and positive customer service and support experience within a highly visible executive office, including extensive professional-level writing required.
  • Experience being efficient and effective in an environment with frequent interruptions is required; ability to pro-actively anticipate needs and communicate effectively with multiple constituents.
  • Experience preparing, reviewing, editing, and disseminating financial information.
  • Advanced knowledge of all Microsoft Office products.
  • Experience with event planning preferred.
  • Quickly learn new systems and adapt to existing practices while also looking for efficiencies in existing processes.
  • Experience with project management, in business or volunteer involvement, is preferred.

$60,000 - $65,000 / annually commensurate with qualifications
