The role of the Assistant Property Manager (APM) is to assist our property management team. This role will support property management operations and field operations. This role will require you to be at the office for designated hours during the weekdays and may occasionally work in the field for specific tasks. Due to the nature of our property management service, the APM may need to be available after regular hours for follow up on ongoing tasks and to ensure our clients and properties are tended to promptly.

Job Duties:

1) Administrative Functions
a) Answer phone and incoming emails
b) Assist with current client questions and issues
c) Sort incoming mail and overall incoming documentation
d) Maintain organized office and file system

2) Rental Registration
a) Research and ensure process for rental registration
b) Complete rental registration renewal forms & pay renewal fees
c) Send to appropriate municipality and coordinate inspections as needed with inspectors and tenants
d) See through completion, which may include entering work orders for any violations that need to be corrected and coordinating re-inspections

3) Lease Renewal Processing
a) Review report for leases ending every 15 days
b) Confirm if property needs to be inspected
c) Confirm market rent
d) Confirm any other Lease Changes/Adds that Landlord might request
e) Once confirmed send renewal notice to tenant
f) Monitor to ensure completed within required timeframe

4) Accounts Receivables
a) Monitor Tenant collections
b) Follow collections process
c) File evictions as needed
d) Monitor evictions
e) Deposit rent funds in software and bank
f) Deposit sec deposit funds in software and bank

5) Accounts Payables
a) Enter all maintenance, utility, and property invoices
b) Charge tenants accordingly
c) File invoices and documents
d) Assist with tenant security deposit reconciliations
e) Follow Sureway accounts payable procedures

6) Work with Field Operations as needed
