Looking for a top level performer on our fast growing Socal team! This will be a hybrid position that will have a base salary with a performance compensation plan. Assistant project manager/ Admin responsibilities include overseeing our project portfolio, making sure all of our projects our scheduled and coordinated, retaining relationships with some of the most respected companies in the industry, estimating, making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems in our CRM. The ideal candidate should have excellent oral and written communication skills and be able think and act quick. If you have previous experience as a Project Manger/ Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Project Manager/ Admin Assistant should ensure the efficient and smooth day-to-day operation of our business.

Ultimately looking someone with excellent customer service skills, positive attitude, multitasking beast, quick with navigating the computer and fast at typing/researching, and is able to make quick on the fly decisions. Looking for someone long term that wants to grow with a winning team and help turn something big into something massive.

Responsibilities

  • Customer service skills must be exceptional as this is our company’s biggest priority
  • Manage all projects and installations
  • Organize and schedule appointments
  • Plan meetings and take detailed notes
  • Write and distribute email, correspondence memos, letters and forms
  • Assist in the preparation of invoices, product research, creating estimates etc.
  • Develop and maintain excellent organizational systems
  • Maintain contact list and new client list
  • Complete daily tasks in on a day to day basis in a timely manner (proficiency and productivity are key for this position)
  • Need someone that is not only charismatic, has good attitude but be extremely productive when work flows in. Have to be a quick thinker and execute on the fly.

Skills

  • Proven experience as an Project Manager administrative assistant or office admin assistant preferred
  • Knowledge of office management systems and procedures
  • Working knowledge of a PC and must type and operate at top speeds. (This is a MUST)
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) must know how to work with spreadsheets fluently.
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Looking for someone dedicated and ready to drive in full speed
