Permit Advisors, a Milrose Company is hiring an Assistant Project Managerin our large expanding company!

Permit Advisors was founded nearly a decade ago, and has grown to be one of the leading providers in full-service permit expediting and entitlement services in the United States. In 2020, Milrose significantly broadened its portfolio of service offerings through acquiring Permit Advisors, a leading full-service national permit expediting firm based out of Los Angeles and San Francisco in California.

Permit Advisors a Milrose Company provides a comprehensive suite of building compliance solutions to the industrial, academic, healthcare, institutional, residential, commercial, retail, and entertainment business sectors. Services provided by Milrose Consultants, Permit Advisors, and Integrated Group include but are not limited to: Code Consulting, Zoning Analysis, Special Inspections, and Permit Expediting services for New Buildings, Interior Alterations, Permits, Violation Research, Violations Dismissals, Letters of Completion, and Certificates of Occupancy.

Summary

The Assistant Project Manager (APM) will assist the Project Manager Level 1 (PML1) and Project Manager Level 2 (PML2)/Senior Project Manager (SPM) by providing the necessary support to help implement project goals as directed.

This position calls for a dynamic individual with an energetic, confident personality and an eagerness to take initiative to uphold company goals. The role will require the APM to learn all aspects of the job, ensuring continuity in the absence of the PML1, while maintaining a positive attitude in a fast-paced environment. Understanding the permit submittal process, understanding building/zoning code, reading construction documents, and communicating with Cities/Municipalities on all aspects of permitting will be a major component of the project assistant’s position. This position will involve a great deal of multi-tasking, communicating, and paying close attention to detail.

Responsibilities include the following, but are not limited to:

  • Assist Project Managers with:
    • Project requirements and submittals.
    • Follow up calls for project statuses.
    • Perform due diligence and create checklists.
    • Prepare submittal packages.
    • Submit projects over the counter (if needed).
    • Keep track of changes in the project progress.
    • Update spreadsheets regularly with project status.
  • Maintain and distribute meeting minutes for the Project and plan-check meetings.
  • Meet all the assignments’ requirement in a timely manner.
  • Acts as the PML1 backup.
  • Completes project deliverables and ensures quality control.
  • Schedules appointments with Department of Buildings Plan Examiners.
  • Adheres to company’s standard operating procedures to successfully execute tasks.
  • Notifies PML1 or PML2/SPM of any problems that arise during a project to work towards resolution.
  • Process applications by generating required paper or electronic submission for issuance and tracking with contractors, clients, and design applicants.
  • Tracks applications on municipal agency portals for filing, permit or sign-off as required.
  • Performs additional duties as needed.

Required Skills

  • Degree in Construction Management, Architecture or Engineering is preferred.
  • Minimum of 1 year of experience as a Construction Administrative Assistant or Assistant Project Manager is required.
  • Must possess strong organizational and problem-solving skills along with the ability to multi-task and work independently.
  • Knowledge of Microsoft software

Compensation:

Milrose Consultants, LLC is committed to fair and equitable compensation practices. Salary ranges are determined through alignment with market data. Base salary offered is determined by several factors including the candidate’s experience, qualifications, and skills.

Annual Salary Range $57,000.00-$65,000.00 USD

Customer Service

  • Demonstrate flexibility in satisfying customer demands in a high-volume production environment.
  • Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or written communication.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to sit; stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Expected Hours of Work

This is a full-time position who is regularly scheduled to work at least 40 hours per workweek.

Travel

Travel to municipal agency as expected for this position. Associate may be required to attend meetings at the discretion of management and/or if it is project related.
