Reporting to the Director for Student Development & Campus Vibrancy, the Assistant Director will have primary responsibility for the oversight of Student Organization financial operations, concentrating on the financial management of Student Organizations and programming funds on campus and the operations of the Carlton Union Building. The Assistant Director will help lead an integrated unit responsible for the management of the student experience through leadership within the support of Student Organizations. This position oversees the union operation and programming, student activity fee finance management for Student Organizations and programming bodies, contract processes, and assists with major student vibrancy event planning on campus. This position provides day-to-day guidance, supervision, and empowering of both staff and student leaders and directly supervises a large number of Student employees for union management, student activity fee budget management, and Student Organization support. This position will be a champion for engagement and belongingness, empowering students to connect with one another through Student Organizations and connection within the Carlton Union Building (CUB), creating a welcoming and home-away-from-home in the most central and widely used facility on campus. This position works in partnership with the Director and Assistant Director for Student Organization Advising and Programming, setting procedures, policies, and guidelines to enable our student groups to be successful.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

Through a strong student empowerment model the Assistant Director will:

  • Oversee the management and operation of the Carlton Union Building (CUB)
  • Hire, supervise, train, and evaluate multiple student workers whose responsibilities include management of the Carlton Union Building (CUB) facility and information desk as well as student activity fee management for Student Organizations and programming bodies
  • Collaborate with internal and external stakeholders to remove barriers to and promote campus vibrancy, student governance, and the use of the union building by all students
  • Advise the SGA Finance Committee on an ongoing basis to ensure the fair, equitable, and effective student activity fee allocation processes and procedures, including periodic budget presentations
  • Develop, revise, or maintain financial procedures which are both user friendly for students and in alignment within university purchasing guidelines
  • Facilitate purchasing and contract process for Student Organizations and student programming bodies
  • Utilize Engage and Banner information system for appropriate budget tracking
  • Implement a plan alongside the Director and Assistant Director for Student Organization Advising and Programming to engage the campus community through recurring small- to medium-scale weekend programming through the CUB
  • Ensure repair, replacement, and renewal of furniture and facilities in partnership with Purchasing and Facilities Management departments
  • Space approval management for the CUB and major student spaces surrounding the building
  • Coordinate ongoing communication with partnering departments and units within the CUB (staff offices, Post Office, Book Store, Dining, etc.)
  • Supervise Graduate Assistant and student employees, ensuring work and responsibilities meet the needs of Students
  • Serve as Building Manager of record for the Carlton Union Building
  • Serve as a team member within the area of Student Development & Campus Vibrancy working with the Director and team members on large-scale vibrancy events and student engagement initiatives
  • Performs other site and position specific functions as assigned

Required Experience
  • A bachelor’s degree
  • A minimum of two years of professional experience, including experience supervising student employees, managing a facility, creating effective processes for customer service, coordinating significant logistics, and managing a budget and financial processes

Ideal Candidate Qualifications:

  • A master’s degree in student development, counseling, student affairs, or related field
