BASIC PURPOSE
Reporting to the Animal and Veterinary Care Manager, the Volunteer & Outreach Coordinator position recruits, supervises, coordinates, and prioritizes the activities of the volunteers that support Joint Animal Services (JAS). Provides Humane Education opportunities for our community and helps create strong partnerships and broaden our community presence with outreach events.
This position requires exceptional interpersonal and networking skills and a genuine desire to make a positive impact in the community. Presents a positive, enthusiastic, and professional image when representing JAS internally and externally. Models and promotes a diverse and inclusive staff culture that is friendly, outgoing, collaborative, and free of judgment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
These duties include, but are not limited to the following:
  • Designs, implements, and coordinates a program of volunteers that meets the needs of the animals, staff, and community that JAS supports and serves.
  • Provides direction for the day-to-day management and future growth of the Volunteer Program.
  • Identifies areas of opportunity and growth for implementing industry best practice programs that keep JAS as a leader within the animal welfare community.
  • Assists the Animal and Veterinary Care Manager in developing timelines, procedures and program goals.
  • Generates monthly and annual statistical reports for the policy board, JASCOM, in coordination with the Executive Director.
  • Prepares quarterly reports of volunteer hours donated and areas benefited and prepares statistical reports for JAS management as assigned.
  • Prepares a variety of reports, logs, records and files related to assigned area of work and activities.
  • Recruits, trains, schedules, coaches and motivates volunteers who are a best fit for the organization's needs to perform a variety of tasks.
  • Trains and mentors staff, while providing guidance and oversight of scheduled volunteers in the department promoting consistency, and ensuring operational expectations and standards are in place.
  • Regularly hosts volunteer orientations, facilitates and provides training to promote volunteer growth and development, implementation and adherence to best practices and organizational policy.
  • Coordinates and performs volunteer-assisted public information functions such as booths, display tables, or remote adoption clinics in conjunction with community events or other public relation/information opportunities.
  • Shares responsibility for production and distribution of Public Service Announcements (PSA's), press releases, and other public information regarding animal care, laws, programs, problems, or other agency functions.
  • Assists the JAS management team to create a plan of work to be completed for scheduled volunteers.
  • Ensures the volunteer schedule is current and tasks being performed are relative to the organizational needs.
  • Utilizes Better Impact software system to track the volunteer work.
  • Addresses volunteer issues as they arise, along with performance concerns, and works towards a mutually favorable outcome.
  • Models safe working practices, and ensures the Volunteers comply with personal protective equipment directives.
  • Develops, coordinates, and delivers new programs to educate the community which includes presentations to schools, and community organizations about humane outreach, animal care, animal welfare issues and the activities of the organization ensuring that all presentations are in accordance with the organization's mission and philosophy.
  • Develops, uses and maintains a resource library on animal related topics.
  • Participates in the development of audiovisual or printed materials to be used in the educational processes.
  • Responsible for the oversight, production, purchase, distribution and use of all educational materials including audio, video and web-based materials with an emphasis on creating high quality electronic educational resources.
  • Serves as a resource, develops and facilitates training for staff on policies and activities requiring an educational perspective on pet care, spay, neuter, behavior and other welfare issues.
  • Responds by phone, mail and/or email to requests and inquiries from teachers as well as the general public about animal issues.
  • Establishes, manages, and archives operational guidelines and protocols for a safe work environment.
  • Responsible for drafting and maintaining updated standard operational procedures (SOP's) and safety policies and practices for assigned work area in compliance with local, state and/or federal regulations.
  • Maintains department records.
  • Coordinates group tours of the shelter for the public and acts as guide for those tours.

Other Duties as Assigned:
  • Schedules presentations and provide necessary staff with advance notice.
  • Participates in, and conducts meetings with other members of the JAS staff, to share ideas and suggestions designed to improve working conditions and programs of JAS.
  • Provides office coverage as needed.
  • Performs special projects as assigned by the Animal Care Manager.
  • When necessary, this position may assist and/or performs euthanasia.

QUALIFICATIONS
REQUIRED QUALIFICATIONS:
A H.S. Diploma or G.E.D. AND one (1) year of increasingly responsible experience in the education and volunteer coordination field, with general knowledge of humane issues.

PREFERRED QUALIFICATIONS:
  • A minimum of one (1) year animal handling experience in a shelter, veterinary field, or similar work environment dealing with animals compassionately and respectfully.
  • Experience in Animal Services education and/or volunteer coordination field.

SPECIAL REQUIREMENTS OR LICENSE(s):
  • Must pass a thorough background investigation and successfully complete reference checks.

  • When necessary, this position assists and/or performs euthanasia and must be certified in euthanasia procedures or have the ability to obtain certification within six (6) months from the date of hire.

  • Must maintain a level of physical and mental fitness necessary to perform the essential functions of the position, with or without a reasonable accommodation.
  • Must be attentive to job safety considerations and follows all required safety policies, procedures and techniques.

  • Must possess a valid Washington State driver's license at time of hire OR must obtain within 30 days from date of hire, and must have a driving record acceptable to the City and the City's insurance carrier; OR must be able to provide own transportation to and from job, meetings, and related job sites.

  • Verification of identity and United States work authorization must be completed as required by the Immigration Reform and Control Act.
