1.Reception Support: This position is required to provide reception in a high call volume and traffic working environment. Including answering incoming phone calls, ensuring all calls are handled in a timely manner; calls should be prioritized, and the receptionist must be critically aware of the different directions and departments to which calls can be directed when necessary. Messages are to be delivered or relayed to the intended recipient within a reasonable amount of time. This role will also support with welcoming and addressing all guests upon arrival, whether client or otherwise. It is essential to deal with any questions and concerns raised by office visitors in a timely manner.
2. Administrative Support: Including using company operation job tracking system to generate ‘job sheets’ for Dispatch, Business Development and Operations, and verifying and balancing incoming field tickets and starting/ending rental tickets; arrange travel logistics, hotel bookings; coordinate operational meetings, preparing agenda and minutes; general business correspondence, general photocopying duties, generating requisitions and ensuring all items purchased in that area have an assigned PO number; monitoring and replenishing petty cash; organizing and maintaining file systems; assisting the area manager(s) with coordinating activities, especially during his absence; and other administrative assistance as required.
3. Inventory: Maintains inventory of pertinent office supplies including assessing inventory and maintaining stock of printed material (field paperwork); and company promotional items as required.
4. General Office Support: Other administrative functions as needed.
