Job Description
As an Administrator, you will provide essential administrative support to ensure the smooth execution of retail reroofing projects. Your strong organizational skills, attention to detail, and ability to multitask will contribute to the overall success of the projects and the satisfaction of our clients.
Responsibilities
Project Documentation and Reporting:
Assist with the preparation and organization of project documentation, including contracts, change orders, purchase orders, and project correspondence.
Maintain accurate and up-to-date project files, ensuring easy retrieval of information as needed.
Generate reports and summaries on project progress, milestones, and financials.
Track and maintain project schedules, ensuring timely completion of tasks and deliverables.
Assist with the preparation of project-related presentations and materials.
Communication and Coordination:
Serve as a point of contact for project-related inquiries from clients, subcontractors, and internal team members.
Coordinate and schedule meetings, site visits, and conference calls, ensuring all participants are properly informed.
Facilitate effective communication and collaboration between project stakeholders.
Assist with the distribution of project-related information, updates, and notifications to relevant parties.
Maintain regular communication with clients, providing updates on project progress and addressing any concerns.
Budget and Financial Support:
Assist with budget management and financial tracking, including the review and processing of invoices, purchase orders, and expenses.
Collaborate with the finance team to ensure accurate and timely invoicing, payments, and financial reporting.
Monitor project costs and expenses, identifying any discrepancies or potential cost-saving opportunities.
Vendor and Subcontractor Management:
Assist with the coordination and documentation of subcontractor and vendor agreements, ensuring compliance with project requirements.
Maintain updated contact information and documentation for subcontractors and vendors.
Assist with the procurement of materials and equipment, ensuring timely delivery to project sites.
Coordinate with subcontractors and vendors to schedule deliveries and resolve any logistical issues.
Administrative Coordination:
Provide administrative coordination to the project management team, including managing calendars, scheduling appointments, and coordinating department meetings.
Prepare and distribute project-related correspondence, memos, and reports.
Organize and maintain project-related records, including drawings, permits, and specifications.
Manage project coordination and administrative oversight of daily activities.
Additional Responsibilities:
Handle additional responsibilities and projects as assigned.
Requirements
High school diploma or equivalent; associate or bachelor's degree in a relevant field is preferred.
Minimum of 2 years of experience in an administrative role, preferably in the construction or roofing industry.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent attention to detail and accuracy in document management.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
Effective written and verbal communication skills.
Ability to multitask and handle multiple projects simultaneously.
Strong problem-solving and decision-making abilities.
Team player attitude is a must.
Knowledge of construction and roofing terminology is a plus.
Familiarity with project management processes and documentation.
