PART TIME POSITION - NO BENEFITS
We are looking for a responsible Administrative Support Specialist to perform a variety of administrative and clerical tasks. This is a PART TIME position at our Dorchester location. The hours are Monday - Thursday from 10:00AM – 2:45PM. Duties of the Administrative Support Specialist include providing support to the Business Manager, Business Agent, Training Coordinator, Office Manager, and members, assisting in daily office needs, and general administrative activities.
The Administrative Support Specialist will also be responsible for maintaining appropriate filing systems, answering the phone, and ordering office supplies. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Word, MS Excel, and office equipment. If you have previous experience as a secretary or administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Support Specialist should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Write and distribute email, correspondence letters, faxes, and forms
- Develop and maintain a filing system
- Update and maintain policies and procedures
- Order office supplies and research new deals
- Maintain contact lists
- Provide general support to visitors
The Administrative Support’s responsibilities also include the following in regard to registering and maintaining records on our Apprentices:
- Maintain records in accordance with DAT regulations, including records documenting
- Apprentices’ completion of RTI
- Apprentices’ progress through the program’s work process
- Proof of required wage increase
- Register apprentices in DAT online system
- Report apprentice progress to DAT
Skills
- Proven experience as an administrative assistant or office admin assistant
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Word and MS Excel, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School Diploma or GED; additional qualification as an administrative assistant or secretary will be a plus
