Administrative Support Specialist
The Administrative Support Specialist responsibilities will include but are not limited to: Read and become familiar with ITFDC marketing messages, policies and procedures, and provider handbook. A college degree is preferred for this position. The person filling this position is also required to be in the office, Monday - Friday. Job duties include:
- Process and complete all stages of enrollments – collecting initial enrollment paperwork and being responsible for collecting all paperwork to complete an enrollment, coordinating signatures of parents and providers on all necessary paperwork.
- Know how to use DocuSign for processing enrollment paperwork.
- Follow up with parents starting care to make sure all enrollment documents are completed.
- Handle parent calls regarding any enrollment issues or questions.
- Process all changes and terminations as necessary.
- Follow up on physical/immunization record renewals with parents.
- Coordinate with bookkeeper issues regarding payments; enrollment issues.
- Put in all requests for building/elevators to remain open for all meetings held before or after normal building hours.
- Give top priority to tasks requested of Executive Director.
- Attend all staff meetings and take staff meeting minutes.
- Shredding of documents.
- Scanning of documents.
- Filing paperwork.
- Cover the front desk as needed.
- Provide back-up for answering phones to assist parents and providers as needed.
- Complete and sign time sheets in timesheets.com by the first working day of each month.
- Complete monthly time in and time out sheets to be submitted with your time sheet.
- Turn in Mileage logs by the first working day of each month.
- Turn in cell phone reimbursement by the first working day of each month.
- Assist office with other requests as needed.
- Assist Workforce Development program with making family member telephone interviews for new providers and any follow ups related to new provider applicants.
- Assist with training reminder calls as needed.
- Open copy room, check voicemail, check mail, check for faxes if first in the office.
- Process Child Care Plus (CCP) forms.
- Handle all calls from parents or providers regarding CCP.
- Assist front desk admin. with scheduling, as needed, for MAT/CPR trainings with instructors. After classes, print/mail MAT and CPR/First Aid Certificates and file/document in the database.
- Assist new providers with filling out demographic forms, applications, making copies of ID’s etc. for Provider Orientations (Workforce Development).
- Assist providers with scheduling finger printing as needed.
- Assist front desk with mailings (monthly statements, W-2’s.
- Assist as needed with providing provider referrals to parents looking for care.
