Vituity's Education & Experience team is on the lookout for a skilled and motivated Administrative Coordinator to provide top-notch support to our senior-level leaders, engaging workshops, external conferences, and impactful educational initiatives. As Administrative Coordinator, you'll be the backbone of our E&E team ensuring seamless coordination of schedules leaders, meeting and program production, and more.

The Opportunity
- Provide administrative support to senior-level leaders including internal/external meeting scheduling, reviewing calendars for conflicts, accepting/declining meeting on behalf of leaders, and reminders of meetings, logistics, and/or materials that may be needed.
- Complete faculty, speaker, and senior-level leaders expense reports and track for reimbursement.
- Provide high-level administrative support to leaders, manage calendars, schedule meetings, and handle travel logistics.
- Streamlining processes by efficiently completing expense reports, financial documents, and reconciling credit card charges.
- Keep things on track by monitoring tasks and tracking project status towards deadlines.
- Maintain an organized inventory of supplies, ensuring smooth procurement processes.
- Expertly support the creation, collection, organization, packing, and shipping of materials for in-person events.
Required Experience and Competencies
- High School Diploma or GED equivalent required.
- Bachelor's Degree preferred.
- 2+ years of administrative or office support experience preferred.
- Previous customer service experience is a plus.
- Ability to multitask in a fast-paced environment while maintaining accuracy.
- Detail-oriented, organized, and adaptable to varying priorities.
- Strong team player with excellent time and resource management skills.
- Exceptional verbal and written communication skills.
- Proficient in MS Excel, Word, PowerPoint, and Outlook.
- Proactive problem solver with the ability to seek innovative ideas for process improvement.
- Willingness to travel to meetings and events as needed.
