The First Baptist Church of Glenarden is seeking a full-time Administrative Coordinator to provide exceptional service to the CBO staff Directors and Managers by exhibiting strong administrative skills and being a collaborator. This position may also provide financial management, travel coordination, meeting/calendar management, supply management, office/mailroom coordination, and Department Head support.
RESPONSIBILITIES
- Interact with staff to identify and address issues or concerns.
- Provide office tours for new hires, guests, or vendors.
- Conduct trend analysis.
- Organize and coordinate meetings and meeting schedules for assigned departments.
- Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails.
- Work with the accounting team to process invoices, make payments, and track receipts.
- Reconcile credit card expense purchases.
- Coordinate services with outside vendors and contractors and advise contractors on FBCG invoice processing procedures.
- Issue and store travel profiles for all travelers, and update profiles as needed.
- Proactively plan for travel that occurs annually.
- Ensure conference rooms and other meeting spaces are prepared prior to use.
- Create and schedule Zoom and Microsoft Team meetings.
- Transcribe and submit Team Meeting Minutes.
- Maintain & Update Staff/Ministry Mailboxes.
- Have the ability to train new hire administrative staff on new policies and procedures as well as on Office Equipment.
- Troubleshoot all office equipment to maintain efficiency.
- Maintain knowledge of supplies, equipment, and/or services ordering and inventory control.
- Process special supply orders for staff and ministries.
- Provide administrative support for CBO Departments.
- Collaborate with other departments to facilitate special/major events.
- Oversee camera operations for the Security Dept. during major and special events.
QUALIFICATIONS
- Must be saved, have an active prayer life, have a servant’s heart, and support the vision of FBCG.
- Must have excellent organizational skills, ability to multi-task, and attention to detail.
- Must be proficient with general office processes and procedures.
- Must be proficient with Microsoft Office Applications and Outlook and demonstrate exceptional communication skills, both verbal and written.
- Must maintain confidentiality.
- Must be teachable and have a flexible spirit.
- Must be a collaborator.
- Ability to manage multiple projects and staff.
- Must be a High School graduate.
- Must have at least 3-5 years prior Administrative Coordinator Experience.
- A completed degree or certification from an accredited institution may be substituted for experience on a year-for-year basis.
