The Physician Relations Coordinator is responsible to assist with the talent acquisition, onboarding process, administrative tasks, developing and implementing strategic communication surrounding onboarding of Physicians and Advanced Practice Clinician providers that are joining El Camino Health Medical Network and affiliated Medical Groups. Individual must collect, distribute, and manage the flow of information between departments, including but not limited to; Physician Relations/Recruitment, Credentialing, Human Resources, Clinical Site Management, Information Services, Network Administration. Provides oversight of the entire onboarding process, functioning collaboratively with the cross-functional teams to ensure service level agreements are met to effectively onboard new clinicians. Meeting hiring goals by finding skilled candidates for posted positions. Continue oversite post Physicians and Advanced Practice Clinician hire date to insure successful onboarding and retention. Maintain Physicians and Advanced Practice Clinician personnel files as needed. Engages staff and management to resolve issues throughout the onboarding process. Continues to gauge provider satisfaction to support organizational goals of Provider Engagement.
Essential Functions:
- Assists with the talent acquisition and onboarding process and administrative tasks for the Physician Relations
- Meeting hiring goals by finding skilled candidates for Physician and Provider positions.
- Performing resume reviews, scheduling phone screens, and scheduling interviews with appropriate panels
- Managing administrative tasks for orientation, including communication, paperwork, room setup and cleanup including faculty and management.
- Under the direction of the Vice President, assist managing projects and programs which support the El Camino Health Medical Network organization.
- Provides support in the areas of financial management, human resources, communications, purchasing, inventory management, and other department support.
- Project Coordinator: Manages project schedules, manages reporting, and ensures company resources are utilized appropriately. Coordinates departmental project activities and ensures project phases are documented appropriately.
- Guarantees timely submission of evaluations and paperwork associated with the smooth functioning of personnel within department.
- Collect, Distribute and Manage the flow of information between departments, including but not limited to; Physician Recruitment/Physician Relations, Credentialing, Human Resources, Clinical Site Management, Information Services, Network Administration, and the onboarding clinician.
- Provides oversight of the entire onboarding process, functioning collaboratively with the cross-functional teams to ensure service level agreements are met to effectively onboard new clinicians.
- Engages staff and management to resolve issues throughout the onboarding process.
- Present onboarding clinician information professionally and concisely to a wide variety of audiences, including large groups of 50+.
- Ensures that new hires have resources as needed - at the right place at the right time.
- Work independently and identify potentially more effective methods of work operation.
- Perform effectively in environments with frequent workload changes and competing demands.
- Work as part of a team or collaborate with colleagues.
- Establish and maintain cooperative working relationships with audiences across all areas and levels within El Camino Health Medical Network as well as external organizations.
Minimum Requirements:
- A bachelor’s degree or equivalent work experience
- 2+ years recent relevant experience
- 3 Years experience in Onboarding, Recruitment, Human Resources, or applicable industry is required.
- Advanced computer experience is required, including Microsoft Office suite and database manipulation.
- Demonstrated ability of personal initiative, poise, confidence, and ability to present information.
- Previous work experience in Recruitment, Human Resources, Project Management, or a related field
- Basic knowledge of employment law, policies and procedures and customer service principles required.
- Strong knowledge of Microsoft Word, Excel, Visio, SmartSheet required.
- Knowledge of data analysis and tracking
- Previous work experience, which demonstrates the ability to interface with Physicians/Providers, Administration and a wide variety of personnel.
- There will be light travel required at times as needed.
