Administrative Assistant
Post Summary
The Administrative Assistant will provide support to the Executive Assistant to the Chief Executive Office and Chief Administrative Office day to day operations including confirming appointments, screening callers, preparing materials for executive meetings, processing and tracking requisitions, and maintaining executive files. As wells as other duties assigned by the Executive Assistants as applicable.

Qualifications/Licensure:
- High school diploma or equivalent required; some college preferred
- Administrative and/or Assistant experience 1-2 years.
- Basic reading, writing, and arithmetic skills required.
- Extensive software skills in Microsoft Office and telephone protocol.
- Professional verbal and written communication skills and the ability to type 50 wpm.

Responsibilities:
- Provide day to day administrative support to the Executive Assistants to CEO and CAO as assigned.
- Provide coverage to the Executive Assistants during their absence (sick and vacation).
- Reads and routes incoming mail.
- Composes and types routine correspondence.
- Organizes and maintains file system and files correspondence and other records.
- Scan contracts and distribute to pertaining departments.
- Answers and screens telephone calls and arranges conference calls.
- Coordinates schedules and makes appointments.
- Greets scheduled visitors and conducts to appropriate area or person.
- Arranges and coordinates travel schedules and reservations.
- Coordinates and arranges meetings, prepares agendas, reserves, and prepares facilities, and records and transcribes minutes of meetings.
- Makes copies of correspondence or other printed materials.
- Prepares outgoing mail and correspondence, including e-mail and faxes.
- Orders and maintains supplies and arranges for equipment maintenance.
- Maintaining mailing list.
- Prepare executive office expense reports.
- Processes and tracks requisitions for purchase order and place orders for the executive office as needed.
- Perform other duties as assigned
