Water Studio (wstudio.com) is an established design, fabrication, and installation firm specializing in contemporary water features and sculptures for indoor and outdoor spaces. Our work is featured in prominent commercial and residential locations throughout US and abroad. We are currently seeking an exceptional and talented Admin Assistant to join our growing team.
The Admin Assistant is a key member of the Water Studio management team, responsible for supporting office/project managers in the areas of growth, profitability, team management, and client relationships. You will be responsible for creating a positive, team-oriented environment, ensuring financial goals and deadlines are being met and assisting in business development. The ideal candidate is an energetic professional who enjoys wearing multiple hats and supporting an office of diverse individuals. Previous experience in art, architecture, design, or construction is preferred. This is a full-time position, offering health benefits and excellent opportunity for growth.
RESPONSIBILITIES
- Office administration including assisting with scheduling, travel planning, purchasing, filing, and general office management to assist Office/Project Managers and Principal.
- Assist with general H/R tasks including new employee onboarding, updating employment/safety manuals, and managing employee documents.
- Maintain and renew all required licenses, certificates, registrations, and insurance policies by working with insurance agents and other employees.
- Assist with developing and promoting positive company culture including planning and managing company events and activities.
- Assist with social media and website updates.
- Assist with new business inquires via phone and email.
- General management of office and studio organization and improvements including scheduling and coordinating studio visits and tours.
QUALIFICATIONS
- Minimum 1 year of experience as an admin assistant or executive assistant.
- Prefer 2 to 4 year college degree
- Detail oriented and able to manage multiple priorities on a consistent basis.
- Proficient in Microsoft Office (Word, Excel, Outlook, Teams) for Windows.
- Basic data entry through Quickbooks Online.
- Able to work full time in our design office in Culver City, CA.
- Excellent interpersonal, verbal, and written communication skills.
- Enthusiasm for leading and fostering a team environment.
