HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:
  • Working in a discreet environment handling sensitive and personal information daily
  • Completing transactional duties with special attention to detail, being organized, and multi-tasking
  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant II, your day-to-day responsibilities will include:
  • The customer office offers enterprise training to the entire sponsor organization workforce
  • The Administrative Support assigned to the customer office will support our instructor cadre and the course curriculum
  • The pace of operations (i.e., support to instructors and lo course participants) varies and is dependent on when training is in session
  • The size of the staff assigned to customer office is small however, a large number of Individuals attend training during a fiscal year
  • The division is flexible in their delivery of learning materials
  • Courses can be tailored (duration and content) depending on the requirement
  • Dedicated/special runnings may be added as needed, to support short fused requirements
  • The Administrative Support must have the ability to communicate verbally and in writing in a clear, grammatically correct and concise manner
  • Good interpersonal skills are required to maintain effective working relationships with team, students, and customers
  • Ability to establish administrative contacts and professional relationships for networking and liaison across the organization
  • Ability to adapt to changing work requirements and priorities
  • Ability to learn and perform routine tasks
  • The AA will coordinate with the office security officer to ensure that security clearances of non-customer officers, if needed, are processed in a timely manner; complete Visitor No Escort Required badges
  • The AA will provide pre- course support to customer training courses- Send emails to participants, adjuncts, and others according to course schedule, track emails sent and recipient's responses
  • Coordinate logistics for VTC, speakers, and special classroom needs, to include transportation arrangements, meal planning, shipping of course materials lo training site, etc. requests for students and instructors, as required and escort uncleared personnel when required.

WHAT YOU'LL NEED TO SUCCEED:
  • The position requires an active Top Secret/SCI with Polygraph clearance
  • HS Diploma and 2 years of relevant experience or equivalent combination of education and experience
  • Core hours between 7:00 am to 5:00 pm (flexible between these hours), later end times are necessary dependent on the course schedule􀉢 a few times per month
  • Proficient Word, Excel, Outlook, PowerPoint
  • The position is on customer site
