Position Description

Position Title: Administrative AssistantStudent Services (District Administration)

Division: District Administration

Reports To: Director of Student Services

Summary:

· Serves as confidential Administrative Assistant tothe Director of Student Services, and as a facilitator to the school staff and public being served. Provides support to maximize efficiency of the Student Services (District Administration) Office.

A. Essential Duties and Responsibilities: (other duties may be assigned)

1. Communicates effectively and courteously with all contacts—internal and external.

2. Works well with a diverse team of people.

3. Meets all requirements for confidentiality and for the management of Student information, finance and personnel information including secure filing and disposal, and records retention and storage.

4. Maintains current knowledge of and complies with organizational policies and procedures.

5. Meets all applicable safety requirements for the position and work environment including prompt injury reporting.

6. Organizes workload throughout the day to meet project timelines and deadlines.

7. Meets attendance and punctuality requirements; reports time and attendance accurately.

8. Assists in maintaining on-going databases (e.g. student information relevant to district goals and district-wide planning).

9. Assists in production of data reports, posters and presentations as needed.

10. Performs data entry, management, and cleaning.

11. Verifies data for completeness and accuracy.

12. Communicates with and/or respond to inquiries and requests.

13. Monitors budget and maintains budget records.

14. Supports the vision and goals Lyons Township High School District 204.

15. Performs other duties as assigned by supervisor.

C. Qualification Requirements:

D. Education and/or Experience:

  • High School Graduate or equivalent.
  • Two years of experience working in an office setting.
  • Strong knowledge and skills utilizing Google Suite (Drive, Email, Calendar), Microsoft Word, Excel, and Adobe Acrobat.
  • Highly organized, detail oriented, and able to work efficiently.
  • Ability to learn new concepts quickly and adapt to changing environment.
  • Strong communication skills (reading, writing, speaking, listening and understanding) including active listening skills to accomplish the tasks assigned.
  • Ability to accept feedback and apply it to work task improvement.
  • Familiarity with diverse racial and ethnic backgrounds with regards to health and cultural needs preferred.

E. Language Skills:

· Ability to read and interpret documents; ability to write routine reports and correspondence; and ability to speak effectively with administrators, staff, students and parents.

F. Mathematical Skills:

· Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions and decimals.

G. Reasoning Ability:

  • Uses critical thinking skills to create documents and spreadsheets and interpret information furnished in written, oral, diagram, or schedule form.
  • Able to set goals based on the available information and to plan work in order to meet deadlines. Able to project likely future occurrences based on current or historic data.
  • Uses decision-making skills and judgment to work independently to resolve problems; able to identify those situations that require supervisor intervention for a solution.
  • Able to formulate appropriate responses to requests for services and information internally and externally.
  • Able to understand, comply and implement established processes, practices and systems.
  • Uses skill and judgment to ensure written or verbal outputs are clear, accurate, grammatical and of appropriate tone.

H. Other Skills and Abilities:

  • Ability to use Student Information System, Microsoft Office products (Word, Excel, Publisher, PowerPoint), Google Suite and Outlook. High level of typing and transcription skills and public relations ability. Ability to perform duties with awareness of all District requirements and Board of Education policies.
  • Organizes workload throughout day to meet project timelines and deadlines
  • Maintains professional behavior, dress and appearance at all times
  • Attends meetings and trainings as requested
  • Assists with other duties as assigned on a regular or occasional basis

· While performing the duties of this job, the employee is regularly required to sit and talk or hear and operate a computer. The employee is occasionally required to stand; walk; and reach with hands and arms and continuously will repeat the same hand, arm or finger motion many times as in typing. The employee must frequently lift and/or move up to 30 pounds, such as testing materials and reports. Specific vision abilities required by this job include close vision.

· The noise level in the work environment is usually quiet. Position usually demands meting deadlines with sever time constraints.
