Job Summary
The Assistant Director of Student Life and Program Operations is responsible for all support activities that contribute to the efficient operation of the Executive MBA Program in Chicago and for global events held in Chicago.
Responsibilities
  • Monitors all textbook and course material orders with Faculty Services and assists with Program Manager shipping materials to students.
  • Manages TA evaluation creation, distribution to students and results distribution to TA's and faculty.
  • Provides faculty assistance in preparation for and during class weekends.
  • Creates detailed quarterly class calendars to distribute to faculty and students.
  • Manages TA onboarding and payment. Creates and distributes all correspondence Chicago teaching assistants and faculty as it relates to program policy, travel expense reports, and compensation arrangements. Works with HR/payroll and the accounting team for payment of salary and reimbursement of travel expenses for all TAs globally.
  • Serves as a resource to London and Hong Kong operations staff as necessary on such issues as registration, database maintenance and other processes.
  • Monitors students' tuition billing in partnership with the University Bursar and Registrar.
  • Manages various administrative matters and policies (tuition bills, late fees, registration, restrictions, make-up exams, and graduation requirements). Strives to streamline processes in order to better serve Executive MBA students.
  • Manages students with accommodations and outreach to faculty. This includes working with the Student Disability Services team, facilitating the accommodations for quizzes, exams or other concerns.
  • Monitors veterans and liaison to Registrar's veteran's administrator.
  • Manages quarterly registration of Executive MBA students.
  • Supports student event planning and catering.
  • Supports global event planning for Chicago based programs including website updating, calendar creation and staffing schedule.
  • Tracks and manages students' leaves of absence and completion plans.
  • Solves problems in areas such as academic and administrative policy, student admissions, curriculum research and development, and budget development.
  • Recommends process improvements for programs that relate to critical student-life improvement, including emergency management, accommodations for students with disabilities, and/or the administration of health care services and Programs for students.
  • Performs other related work as needed.

Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field.

Experience:
  • At least three years of professional experience in a similar environment.

Technical Skills or Knowledge:
  • Working knowledge of Microsoft Word, PowerPoint, and Outlook.
  • Strong Microsoft Excel skills.
  • Data analysis skills.
  • Learn other software tools and platforms, for example, Qualtrics, Cvent, Marketo, CRM.

Preferred Competencies
  • Excellent interpersonal, oral and written communication and presentation skills.
  • Demonstrated initiative and organizational skills, and the ability to multitask, meet deadlines, accuracy and work successfully in a fast-paced, multi-locationed environment.

  • Maintain tact and composure, and meet deadlines consistently in a fast-paced environment with many competing demands.

Working Conditions
  • This position is currently expected to work a minimum three days per week in the office.
  • Work evening hours and Saturdays when Executive MBA students are in session as well as week-long sessions which may include Sunday hours. Some global meetings will occur in early morning hours.
  • Occasional international travel.
