Administrative Assistant to Program Manager
This is a full-time, on-site position working for a client in Kingston, NY paying $24-26/hr
The Assistant to the Project Manager will support the day to day operation of the Regulatory Upgrade Program for the NY watershed, including but not limited to:
- essential administrative functions
- facilitating communication and contact among multiple government agencies and officials
- evaluating and auditing proposals and disbursements for adherence to government and program specifications
- reviewing Operations & Maintenance (O&M) budgets, processing payments, and assisting in other financially oriented responsibilities.
Among the various duties, a primary function is preparing detailed financial reconciliations of the operations and maintenance expenditures of each wastewater treatment plant in the watershed for each fiscal year. This is accomplished by reviewing copies of each plant’s O&M payment records, verifying their eligibility under the O&M Agreement and comparing their actual expenses with their annual estimated budgets and payments . It involves heavy Excel usage with varying formats and complexities. It also requires extremely sharp attention to detail, problem solving abilities, and high numerical accuracy.
Other functions of the position include various office-related administrative tasks such as preparing files for offsite storage, maintaining the documentation of all files currently stored offsite and communicating with facility owners on O&M matters.
Qualifications
1. An associate or baccalaureate degree from an accredited college, with studies in the physical sciences, environmental science, economics, or accounting preferred. At least two years of full-time satisfactory professional experience with progressively maturing responsibilities.
2. Must be computer literate, fluent in the use of Microsoft products, strong Excel.
3. Must be comfortable with ambiguity, and a dynamic, team-oriented environment.
