Position: Administrative Assistant to Children’s Ministries

Role Summary
The Administrative Assistant for Children’s Ministries will be responsible for supporting the Children’s Ministries team administratively, ensuring the team is organized and prepared to engage within the format and guidelines of St. Andrews Church. This person will primarily assist as a supporting force for the Children‘s Ministries team including all kids and tuition based programs
Responsibilities
- Team First:
- Administratively assist the Children’s Ministries Department (which includes our “Tuition” programs)
- Be part of a team that supports the “church-wide” gatherings and functions
- Attend weekly staff meetings
- Be part of St. Andrew’s as evidenced through participation within the body of believers
- Essence of Responsibilities
- Administratively support the Family and Children’s ministries department
- Support the ministry efforts of the department as assigned
- Take notes in department and staff meetings
- Administratively support tuition programs (preschool, watch, parent-child)
- Manage payments, student files, and updates through brightwheel management software
- Administratively support the Minister of Children’s Ministries
- Administration
- Support the Preschool administratively
- Support the Watch program administratively
- Ensure program contracts are maintained
- Ensure software for running events and programs is properly setup (brightwheel, brushfire, CCB)
- Send weekly emails for the department through Mailchimp
- Organize and facilitate CCB Reservations
- Organize and facilitate CCB Check-in software setup
- Facilitate event registration
- Respond to parents with questions as is needed
- Update website for Children’s Ministries department
- Organizing Credit Card forms and submissions
- Organize and maintain technology needed for programs, services, and events
- Run weekly CCB reports for Family Minister
- Act as a liaison to church for departmental communication needs and issues
- Write and proofread copy (for both department needs and interdepartment needs such as quarterly brochures and other yearly communication’s team publications)
- Journal transfer funds between budgets as assigned and needed to keep books balanced
- Act as a liaison to the communications team and support system
- Creating “minor” graphics on canva
- Run Children’s Department Social Media platforms
- Conduct fingerprint scans for the department volunteers
- Ministry Support:
- Assist where scheduled for Sunday services
- Assist where scheduled for Wednesday night services
- Meetings:
- Take notes in various children's department staff and elder meetings as needed
- Meet with department leads and brainstorm solutions as scheduled
- Events:
- Assist with organizing of major events and camps
- Be the prime focal point for utilizing CCB for all events in our Children’s Department
- Be the prime focal point for communicating information for events to the church (bulletins, weekend announcements, all the latest)
- Be the prime focal point for software parents use to sign up their kids (brightwheel)
- VBS / Fall Fest
- Provide major support to the planning and execution of these events
- Assist with support of up to 1 extra church-wide event per month (Support 2 events during Easter/Christmas)
- Assist with organizing of major events and camps
- Children’s Minister Support
- Assist with managing the team’s calendar and scheduling needs
- Assist with maintaining and supporting emails
- Assist with practical support for up to 2 hours a week
- Act as a relational bridge between staff, Children’s Minister, and Family Minister
- Help organize data as it relates to the safety of minors such as obtaining information regarding background checks, fingerprinting, mandated reporting training, liability forms)
- Represent the Children’s Minister in meetings with a prime focus on child safety
- Misc:
- Use 2 amount of hours per week at your discretion to support ministry efforts
- Evaluate Schedule on a monthly basis and provide information to Children’s Minister as to how to flex miscellaneous task completion timelines to accommodate major event support
- Develop a personal growth strategy and share those with your supervisor so you are continually empowered to grow strengths and minimize weaknesses in your ministerial functions
Other General Responsibilities
- In addition to normal responsibilities, is a member of a team dedicated to Christian service and should therefore seek at all times to conduct him/herself in a way that would be pleasing to the Lord.
- Ability to use a computer with the knowledge of Microsoft Office and Keynote programs
- Must be available for occasional weekend or evening events
- Perform other duties as requested by the Minister of Family Ministries and/ or Director of Preschool
Qualifications
- An individual who is an active part of a Christian Church and affirms the mission, values, and mission measures of St. Andrew’s Presbyterian Church
Education and/or experience
- Bachelor’s degree (BA) from a four-year college or university: or four years or more of related experience and /or training; or equivalent combination of education and experience.
