Under the direction of the Administrative Quality Coordinator, the Administrative Assistant, PHO provides support on initiatives for Primary Care and Specialty offices in the PHO, working collaboratively with practice managers and physician leads. Demonstrates excellent communication and organizational skills and a high degree of sensitivity to handling confidential communication and information. Provides project support to the entire Physician Hospital Organization Leadership team. The position will handle assigned administrative duties to support the efficient daily functions/operations of the Physician Hospital Organization.
Associates Degree or higher education required
Relevant professional experience in health care/health care administration preferred.
Demonstrates excellent communication and organizational skills and a high degree of sensitivity to handling confidential communication and information.

  • Provides project support to the entire Physician Hospital Organization Leadership Team
  • Prepares large projects using merge functions to create labels and/or prepare envelopes for mailing.
  • Organizes and maintains electronic and paper department files and ensures that all materials are filed accurately and timely.
  • Maintain the physician master list, verifying rosters with payers and communicating with payers when new fee schedules are needed.

Administrative/Program Coordination
  • Effectively communicates practices and staff regarding changes related to the Clinical Integration process
  • Perform routine and assigned administrative duties to support the efficient daily functions/operations of the Physician Hospital Organization such as: preparing documents, letters, memoranda, meeting minutes, reports, contracts, forms, spreadsheets, lists, logs and other materials from drafts or standard formats using Microsoft Office applications. Makes copies, sends and receives faxes, laminates and scans.
  • Assembles and/or collates materials upon request
  • Sorts and distributes department mail.
  • Maintains, monitors and orders office supplies.
  • Schedules PHO meetings, prepares meeting content, organizes conference rooms and coordinates meeting arrangements

Critical Thinking Skills
  • Uses critical thinking skills to provide assistance and problem-solving to internal and external customers.
  • Proficiently uses technology to organize the office operations
  • Troubleshoots and/or facilitates maintenance of office equipment such as copiers and printers.

Contract Management
  • Recognizes opportunities for new PHO Physician Participating Agreements contracts and changes to existing contracts.
  • Keeps PHO contract exhibits current and communicates changes to practices in timely manner

Serves as the back-up for Blue Cross Blue Shield Practitioner Alignment, and Priority Health PRA Tools
