Responsibilities:
Document Management:
- Create, organize, and maintain physical and digital filing systems.
- Manage and update company documents, reports, and records.
- Ensure accuracy and completeness of documentation.
Communication:
- Act as a point of contact for internal and external communications.
- Answer and direct phone calls, emails, and inquiries to the appropriate personnel.
- Prepare and distribute internal and external correspondence.
Scheduling and Coordination:
- Schedule and coordinate meetings, appointments, and events.
- Arrange travel accommodations for employees as needed.
- Assist in organizing company events and conferences.
Office Organization:
- Maintain a clean and organized office environment.
- Order and manage office supplies, ensuring adequate stock levels.
- Assist in creating and implementing office policies and procedures.
Customer Service Support:
- Provide support in responding to customer inquiries and concerns.
- Assist in managing customer accounts and maintaining positive relationships.
Financial Administration:
- Assist in processing invoices, expenses, and other financial documentation.
- Collaborate with the finance department to ensure accurate financial records.
Qualifications:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and accuracy in work.
- Ability to handle confidential information with discretion.
- Familiarity with the electric industry or utilities is a plus.
