Job Overview:
We are seeking an organized and detail-oriented Administrative Assistant/Accounts Payable Clerk to join our team. We are looking for someone who has a friendly, professional demeanor with great interpersonal skills. Must have a positive attitude and the ability to provide general office support.
This person will be responsible for managing all aspects of accounts payable, ensuring accurate and timely processing of invoices and payments. This role requires strong organizational skills, attention to detail, and proficiency in Sage is a plus.
Proficiency in the Microsoft Office Suite and Google Suite is required. Must have a basic understanding of accounting fundamentals through experience and/or education.
Duties:
- Process invoices, ensuring accuracy and adherence to company policies and procedures
- Match invoices with purchase orders and receiving documents
- Verify invoice approvals and resolve any discrepancies or issues
- Enter invoice data into the accounting system with accuracy and efficiency
- Prepare and process payments to vendors, ensuring timely payment
- Reconcile vendor statements and resolve any billing discrepancies
- Maintain accurate records of accounts payable transactions
- Assist with month-end closing activities, including account reconciliations
- Answering the main company phone line
- Entering and reconciliation of company credit cards, monthly
- Managing the company cell phone account.
- Managing building services, including but not limited to office cleaning, fire suppression inspections, etc.
- Distribution of incoming mail and/or packages
- Running errands (post office, ups, etc.)
- Ordering office supplies as needed
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in data entry and record keeping
- Proficiency in Sage (is a plus) or similar accounting software
- Knowledge of basic accounting principles and practices
- Excellent written and verbal communication skills
- Ability to work independently as well as collaborate with a team
- Proficient in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook)
- Previous experience in an administrative or office management role is a plus
